NY Gastroenterology & Hepatology - Dr. Rieber in New York, NY is seeking a Full Time Bilingual Office Supervisor to oversee billing operations, accounts payable, scheduling, records management and basic bookkeeping to support clinical and administrative staff.

The ideal candidate is bilingual English/Spanish with EMR experience (Athena preferred), strong organizational and customer service skills, and knowledge of HIPAA/OSHA regulatory requirements.

  • Previous medical office supervisory experience preferred.
  • Knowledge of insurance verification, scheduling, and healthcare administrative processes.

  • Ability to manage multiple priorities while maintaining accuracy and professionalism.
  • Working knowledge of HIPAA and OSHA requirements.

About the Role:

The Office Manager in a health care and social assistance setting plays a pivotal role in ensuring the smooth and efficient operation of the office environment. This position is responsible for overseeing billing practices and operations, managing accounts payable, and resolving billing disputes to maintain financial accuracy and compliance. The Office Manager also coordinates general office administration tasks, including appointment scheduling, records management, and bookkeeping, to support clinical and administrative staff effectively. By maintaining organized office systems and fostering a productive workplace, the Office Manager contributes directly to the quality of patient care and overall organizational success. This role requires a proactive individual who can balance multiple priorities while maintaining attention to detail and confidentiality.

Responsibilities:
  • Manage and oversee all billing operations, including processing invoices, handling billing disputes, and ensuring timely payments.
  • Supervise accounts payable functions, ensuring accuracy and compliance with organizational policies.
  • Coordinate daily office administration tasks such as appointment scheduling, records management, and general office duties.
  • Maintain accurate bookkeeping records using QuickBooks and other financial software to support financial reporting and audits.
  • Serve as the primary point of contact for office-related inquiries and facilitate communication between clinical staff and administrative departments.

The ideal candidate possesses advanced proficiency with Electronic Medical Records (EMR) systems and a strong understanding of medical office operations, including insurance processes, charge posting, and billing procedures. They demonstrate excellent organizational, multitasking, and time management skills, with a keen attention to detail and the ability to work accurately and efficiently in a fast-paced environment. Strong customer service skills are essential, along with exceptional interpersonal, verbal, and written communication abilities. The successful candidate maintains professionalism, patience, and courtesy in stressful situations and can effectively exercise discretion, diplomacy, and tact when interacting with patients, physicians, and staff. They are proficient in computer applications and data entry, capable of learning new systems and technologies, and committed to maintaining confidentiality and sound judgment at all times. A working knowledge of HIPAA and OSHA regulations, or the ability to quickly learn and adhere to compliance requirements, is required. Reliable transportation and the flexibility to travel between local office locations as needed are also necessary for success in this role.

Minimum Qualifications & Skills:
  • Bilingual proficiency in English and Spanish, with the ability to communicate effectively with patients, physicians, and staff.
  • Previous medical office and supervisory experience preferred.
  • Experience with EMR systems and medical scheduling.
  • Knowledge of insurance verification, referrals, and healthcare administrative processes.
  • Strong communication, customer service, and organizational skills.
  • Ability to manage multiple priorities while maintaining accuracy and professionalism.
  • Working knowledge of HIPAA, OSHA, and patient confidentiality requirements.
  • Proficiency in Microsoft Office and healthcare technology systems.
  • Demonstrated leadership, problem-solving, and team collaboration skills.
Preferred Qualifications:
  • Previous supervisory or leadership experience in a medical office or healthcare setting.
  • Experience with Athena and/or other EMR systems.
  • Knowledge of insurance verification, referrals, pre-authorizations, and medical billing processes.
  • Experience managing staff schedules and training employees.
  • Associate degree or higher in Healthcare Administration, Business Administration, or a related field preferred.
  • Experience supporting multiple providers or office locations.
  • Familiarity with HIPAA, OSHA, and healthcare regulatory requirements.
