Job summary

Immigrant Law Center of Minnesota is seeking a Front Desk Receptionist to welcome visitors, answer calls, route inquiries, and provide essential administrative support at our Saint Paul main office.

You will work closely with legal and administrative teams to ensure smooth daily operations, maintain organized systems, and uphold confidentiality with professionalism and care. A strong customer-service mindset is essential.

Qualifications

  • Previous experience in professional administrative support, reception/front desk operations, or customer service.
  • Experience in a legal-services environment preferred; non-profit or other client-facing professional office experience is also valuable.
  • Proficiency with Microsoft Office applications including Word, PowerPoint, Excel, Outlook, Teams, and SharePoint.

Responsibilities

  • Manage the organization’s main reception area, greet and direct guests, answer and route phone calls, and respond to general inquiries.
  • Provide referrals and direct clients to appropriate ILCM services and resources; support scheduling and communications.
  • Process mail, maintain a welcoming reception area, and assist with room reservations and calendar-related items.

Introduction

The Front Desk Receptionist plays a key role in creating a welcoming, professional, and supportive environment for visitors, clients, and staff. As one of the first points of contact for ILCM, this position manages the organization’s main reception area, greets and directs guests, answers and routes phone calls, responds to general inquiries, connects clients with appropriate ILCM services and resources, and provides high-quality administrative support to help ensure smooth daily operations. The Front Desk Receptionistmaintainsorganizedsystems,assistswithschedulingandcommunications,handlesincoming andoutgoing mail,andcollaborates closely withprogram,legal,andadministrative teamstosupportclientservices and office needs. This role requires strong communication skills, sound judgment, attention to detail, and a customer-service mindset, as well as the ability to handle every call and client interaction with professionalism, discretion, confidentiality, and care.

    • Paid Time Off (PTO): Employees earn 12.5 hours per month during the first 2 years of employment(4weeks), 15.625 hours per month inyears2-5 (5 weeks), and 18.75hours per month after 5 years (6 weeks). Employees can carry over up to 80 hours of unused leave from year to year.

PrimaryResponsibilities:
Client&VisitorServices
  • Answer all incoming calls during scheduled office hours, respond to general caller inquiries, and route calls appropriately.
  • Providereferralswheneverpossibleorredirectcallsasappropriate.
  • MaintaincurrentknowledgeofILCMprograms,services,referralresources,andfrontdesk procedures to provide accurate information and appropriately direct clients and callers.
Office&Administrative
  • Processincomingmailbydate-stamping,scanning,anddistributinggeneralcorrespondence; make occasional trips to the post office and FedEx as needed.
  • Maintain a welcoming and organized reception area, including keeping informational materials stocked.
  • Deliveroutgoingmailtothemailboxeachday.
  • Maintainofficecopiers,includingrestockingpaper,changingtoner,andcoordinatingrepairswith vendors.
  • Assistwithrequeststosendfilestoorretrievefilesfromstorage.
  • Coordinate customer support with vendors, including submitting service tickets for technology and equipment issues such as the phone system, copiers, and postage meter.
  • Assistwithroomreservationsandothercalendar-relateditems.
Records&InternalControls
  • Completeregulardataentryasneededorrequestedbymanagement.
  • Completemonthlyreconciliationsofclientdocuments,filingfees,emergencybasic-Needspayments, and related records to support accuracy and strong internal controls.
SecondaryResponsibilities
  • Provideadministrativesupporttolegalteamsasneeded,includingassistingwithclientsignatures and handling immigration-related documents in accordance with established procedures.
  • Participateinteammeetingsandmonthlyall-staffmeetings.

Qualifications|Knowledge,Skills&Abilities
  • Previous experience in professional administrative support, reception/front desk operations, or customer service.
  • Experienceinalegal-servicesenvironmentpreferred;nonprofitorotherclient-facingprofessional office experience is also valuable.
