As the first point of contact for our clients, you will play a pivotal role in shaping their experience with TaxVance. This position blends hospitality, administrative expertise, and multilingual communication to ensure each client receives exceptional service with clarity, compassion, and accuracy.

Client Engagement & Communication
  • Greet and welcome all clients with warmth, professionalism, and cultural sensitivity—serving as the face and voice of TaxVance
  • Clearly communicate complex or sensitive information in both Spanish and English to ensure client understanding
  • Actively listen to client needs and guide them to the appropriate services or team member with care and efficiency
  • Build trusted relationships with a diverse clientele, many of whom rely on TaxVance for critical legal, financial, and immigration-related support
Specialized Administrative Services
  • Notarize official documents such as affidavits, power of attorney forms, immigration paperwork, and legal declarations with precision and adherence to legal requirements
  • Translate personal and legal documents (e.g., birth certificates, marriage licenses, affidavits, government forms) with attention to cultural nuance and legal accuracy
  • Prepare, certify, and format affidavits and sworn statements for use in immigration, legal, and financial matters
  • Guide clients through forms or document packages to ensure completeness, clarity, and compliance before submission
Operational Excellence
  • Maintain accurate client records, logs, and appointment schedules using digital CRM and internal platforms
  • Ensure the front office operates with world-class efficiency—managing supplies, coordinating appointment flow, and reducing wait times
  • Liaise with back-office teams to ensure seamless handoffs, service continuity, and exceptional follow-through on client needs
  • Assist with intake for tax preparation services, verifying documentation, answering service-related questions, and preparing files for tax professionals
Compliance & Confidentiality
  • Uphold strict confidentiality standards when handling sensitive client documents and personal information
  • Maintain up-to-date knowledge of notarial and translation laws, tax filing requirements, and immigration-related documentation protocols
  • Ensure all front desk practices align with TaxVance’s compliance, ethics, and customer service standards
