Job summary

PJF Corp. in Utah is seeking a detail‑oriented Bidding Coordinator to unite subcontractors, estimators, and sales teams in a fast-paced preconstruction environment. You will own the bidding cycle, manage bid invitations, and ensure timely plan uploads into Procore.

This role requires strong communication, familiarity with floor plans, and experience with Office 365 and Procore. You will build a reliable subcontractor directory, coordinate bid bonds, and help evaluate bids to support winning

Qualifications

  • Strong communication skills to coordinate with subcontractors and teams.
  • Familiarity with floor plans and basic commercial construction knowledge.
  • Proficiency with Office 365 tools for project management.
  • Able to analyze bids and ensure accurate plan uploads into Procore.
  • Experience interacting with estimators and sales teams is a plus.

Responsibilities

  • Manage bidding process for multiple projects (2-10) and engage with subcontractors.
  • Coordinate and distribute bid invitations with plan uploads into Procore.
  • Follow up with subcontractors to confirm bid participation and relay information.
  • Aim to secure a minimum of three qualified bids per project segment.
  • Maintain and expand subcontractor directory with current contacts.
  • Ensure clear communication among stakeholders in bidding.
  • Build strong relationships with subcontractors as primary bid contact.
  • Make and answer calls to encourage bid submissions and discuss project details.
  • Coordinate bid bonds and related documentation to ensure bid compliance.
  • Assist in evaluating bids and provide feedback on win/loss outcomes.
  • Support marketing tasks, limiting to 5% of time (materials, website, social).

As a Bidding Coordinator at PJF Corp., you will be the linchpin in our project bidding process, helping to bring together subcontractors, estimators, and sales teams to ensure successful project outcomes. Your role will be critical in driving communication, organizing bid invitations, and managing the flow of information. Key Responsibilities:

  • Efficiently manage the bidding process for multiple projects (2-10), engaging with over 600 subcontractors per project.
  • Coordinate and distribute bid invitations while ensuring accurate plan uploads into Procore.
  • Proactively follow up with subcontractors to confirm bid participation, relaying critical information to estimating and sales teams.
  • Aim to secure a minimum of three qualified bids per project segment.
  • Maintain and expand the subcontractor directory, ensuring accurate and up-to-date contact information.
  • Facilitate clear, consistent communication and timely follow-up with all stakeholders in the bidding process.
  • Foster strong, reliable relationships with subcontractors, becoming the primary point of contact for all bidding-related inquiries.
  • Consistently make and answer phone calls to subcontractors to encourage bid submissions and discuss project details.
  • Ensure compliance with bidding requirements by coordinating bid bonds and related documentation.
  • Assist in evaluating and qualifying bids, providing comprehensive feedback on win/loss outcomes to all involved subcontractors.
  • Support marketing efforts, dedicating no more than 5% of your time to tasks such as delivering materials, website updates, and social media contributions

Education/Experience
  • High School diploma or GED (Required)

License/Certification

Procore certified (or a commitment to be certified within 30 days of hire)
