Job summary

McKee is seeking a Bid Coordinator to support the estimating department from our Dallas, Texas office. You will request and track quotes, organize bid documents, and maintain estimating data in HCSS HeavyBid while assisting the team through the bidding process.

The ideal candidate is highly organized, detail-oriented, and able to manage multiple deadlines while communicating with vendors and subcontractors effectively.

Qualifications

  • High school diploma or equivalent.
  • Experience in construction, estimating support, bid coordination, or office administration is preferred.

Responsibilities

  • Request project quotes from vendors, suppliers, and subcontractors.
  • Distribute plans, specifications, and bidding documents.
  • Track outstanding quote requests and follow up before bid deadlines.
  • Organize quotes for estimator review.
  • Enter and maintain bid information in HCSS HeavyBid.
  • Maintain organized bid folders and records.
  • Track bid dates, addenda, and pre-bid meetings.
  • Distribute updated plans and addenda.
  • Maintain vendor/subcontractor contact information.
  • Assist estimators with bid forms, proposals, spreadsheets, and supporting documents.
  • Ensure bid packages are complete and submitted on time.
  • Perform additional administrative duties to support estimating.

Bid Coordinator

Job Locations: US-TX-Dallas

The Bid Coordinator will support the estimating department from the company's Dallas, Texas office. This position is responsible for requesting and tracking vendor and subcontractor quotes, organizing bid documents, maintaining estimating information in HCSS, and assisting the estimating team throughout the bidding process. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple deadlines and communicating with vendors and subcontractors.

Location & Travel Details

This position is based at McKee Utility's Dallas, Texas office. The role is primarily office-based, with occasional travel to other company offices, project sites, or pre-bid meetings as needed. Travel is expected to be limited.

Responsibilities
  • Contact vendors, suppliers, and subcontractors to request project quotes.
  • Distribute plans, specifications, and other bidding documents.
  • Track outstanding quote requests and follow up before bid deadlines.
  • Organize vendor and subcontractor quotes for estimator review.
  • Enter, update, and maintain bid information within HCSS HeavyBid.
  • Maintain organized electronic bid folders and estimating records.
  • Track bid dates, addenda, pre-bid meetings, and submission deadlines.
  • Download and distribute updated plans, specifications, and addenda.
  • Maintain accurate vendor, supplier, and subcontractor contact information.
  • Assist estimators with bid forms, proposals, spreadsheets, and supporting documentation.
  • Help ensure bid packages are accurate, complete, and submitted on time.
  • Perform additional administrative duties as needed to support the estimating department.
Qualifications
Work Experience and Education
  • High school diploma or equivalent.
  • Previous experience in construction, estimating support, bid coordination, or office administration is preferred.
Knowledge, Skills and Abilities
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Professional telephone and email communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency with Microsoft Outlook, Excel, and Word.
  • Ability to learn HCSS HeavyBid and other company systems.
  • Ability to work independently and collaboratively as part of a team.
  • Experience with HCSS HeavyBid or another construction estimating system is preferred.
