Job Description - Bid Clerk
General Description
A Bid Clerk is primarily responsible for assistingthe estimating team in documentation management and tracking. This role involves collectinginformation,utilizingCRM software, and coordinating with internal teams to meet deadlines and ensure successful bid submissions.This is an entry level position with growth opportunities.
Key Responsibilities of a BidClerk:
- Collect and organize data from various sources, including internal teams and external stakeholders,to support efforts of estimating team to produceaccurateestimates andtimelyproposals.
- Maintain precise call logs, detailing follow-up actions and outcomes withcustomers,subcontractors, engineers, and clients. Record this data ineither spread sheets orCRM Software for tracking and analysis purposes.
- Access the Bid platforms to retrieve architectural, engineering, and construction drawings related to projects
tomaintainand update bid documentation.
- Produce and distribute correspondence asrequested: prepare and assemble reports, proposals, and other documents.
- Create and manage all proposal files.
- Update andmaintainsubcontractor information in company system email.
- Schedule estimate reviews and ensure completion of bid review checklist.
- Perform other duties as assigned.
Knowledge, Skills, and Abilities:
- Possess the ability to work independently and unsupervised.
- Possess the ability to gather and analyze data, reason logically and creatively, draw conclusions and problem solving.
- Skilled in interpersonal communication toassistwith all levels of staff and clients.
- Possess knowledge of Microsoft Officesuite ofproducts.
- Possess knowledge of traditional office equipment such aslaptops,copiers, scanners, shredders, and postage machines.
- Skilled in written and interpersonal communication.
- Possess the ability to perform tasks inatimelyand responsible manner.
- Self-starter with a strong work ethic, positive attitude, andateam player.
