Qualifications

• Two or more years of experience in healthcare, behavioral health, medical office operations, or care coordination.
• Experience with EHR and MS Office.
• Strong organizational and communication skills.
• Knowledge of HIPAA and patient confidentiality.

Responsibilities

• Coordinate all outpatient referrals, intake requests, and scheduling for behavioral health services.
• Serve as the primary point of contact for patients, families, referral sources, physicians, hospitals, and community agencies.
• Ensure timely completion of intake documentation, insurance verification, authorizations, and registration requirements.
• Collaborate with therapists, psychiatrists, nursing staff, and leadership to coordinate patient care and appointment availability.
• Monitor provider schedules to maximize access, productivity, and continuity of care.
• Maintain accurate patient records and ensure documentation complies with organizational, state, federal, and accreditation standards.
• Track referrals, admissions, discharges, waitlists, cancellations, and no-show rates, identifying opportunities for process improvement.
• Assist with patient engagement efforts, including appointment reminders and follow-up communication.
• Coordinate outpatient group schedules, room assignments, and program logistics.
• Prepare reports related to program performance, patient census, referral trends, and quality metrics.
• Participate in interdisciplinary treatment team meetings and departmental quality improvement initiatives.
• Maintain confidentiality and compliance with HIPAA and all applicable regulations.
• Provide exceptional customer service while promoting a welcoming and professional environment for patients and visitors.
• Perform other duties as assigned to support outpatient program operations.
