Job summary

The Boys & Girls Clubs of Hartford is seeking a Part-time Before Care Program Supervisor to lead a safe, welcoming morning program for school-age youth. You will oversee daily operations, supervise staff, ensure breakfast service, coordinate light activities, and manage transitions to buses or authorized transportation.

Expected hours are 7 am to 9 am, Monday through Friday during the school calendar, with regular attendance as essential.

Job description

The Before Care Program Supervisor is responsible for leading a safe, welcoming, and well-organized morning program for school-age youth. The Supervisor oversees daily program operations, supervises program staff, ensures youth receive breakfast, coordinates light activities, and makes certain each child is safely transitioned to the appropriate school bus or other authorized transportation.

Key Job Responsibilities
Program Leadership and Daily Operations
  • Open and prepare the program space each morning before youth arrive.
  • Ensure the program is appropriately staffed and ready to receive youth.
  • Maintain an organized daily routine that includes arrival, breakfast, light activities, cleanup, and bus departure.
  • Assign staff responsibilities and provide clear direction throughout the morning.
  • Adjust staffing and activities as needed based on attendance, transportation schedules, and youth needs.
  • Ensure the program space is cleaned, secured, and properly closed at the end of the morning.
Youth Safety and Supervision
  • Maintain active supervision of youth at all times.
  • Ensure youth are properly signed in, and attendance records are accurate.
  • Know each youth’s bus assignment, departure time, and authorized transportation plan.
  • Establish procedures for monitoring bus arrivals and ensuring youth board the correct bus.
  • Immediately address and report safety concerns, injuries, behavioral incidents, missing transportation, or other emergencies.
  • Follow all organizational policies related to youth safety, supervision, mandated reporting, emergency response, and authorized pickup or release.
  • Maintain required staff-to-youth ratios throughout the program.
Staff Supervision
  • Provide daily direction and support to Youth Development Professionals.
  • Model punctuality, professionalism, positive youth interactions, and strong safety practices.
  • Monitor staff performance and address concerns promptly.
  • Communicate attendance, staffing, performance, or safety concerns to the Club Director or designated supervisor.
  • Ensure staff understand youth needs, transportation assignments, emergency procedures, and daily responsibilities.
Breakfast and Activities
  • Coordinate the safe and orderly distribution of breakfast.
  • Follow applicable food handling, sanitation, and allergy procedures.
  • Plan or oversee simple, age-appropriate morning activities such as reading, games, art, puzzles, homework support, or quiet social activities.
  • Create a calm and welcoming environment that helps youth prepare for the school day.
  • Ensure activities remain flexible so youth can transition to buses at different times.
Family, School, and Organizational Communication
  • Welcome youth and families and provide clear, professional communication.
  • Respond appropriately to questions regarding attendance, schedules, transportation, and program procedures.
  • Communicate transportation delays, absences, behavioral concerns, or unusual circumstances to the appropriate individuals.
  • Maintain confidentiality regarding youth, families, and staff.
  • Complete required attendance, incident, meal, transportation, and program documentation.
Expected Hours of Work

Position adheres to school calendar; hours are generally 7 am - 9 am Monday through Friday from late August to mid-June

Regular and reliable attendance is an essential responsibility of this position.

Physical Requirements

This position requires the ability to actively supervise and respond to youth throughout indoor and outdoor program spaces. Essential functions may involve moving throughout the facility, positioning oneself at youth level, accompanying youth during activities and transitions, using program equipment, and responding promptly to safety concerns.

The employee must be able to perform the essential functions of the position, with or without reasonable accommodation.

Supervisory Responsibility

This position will supervise 2 part-time Youth Development Professionals

Requirements
  • High school diploma or equivalent required; associate degree or coursework in education, youth development, recreation, social services, or a related field preferred.

  • Ability to manage multiple schedules and responsibilities in a fast-paced morning environment.
  • Strong judgment, organization, communication, and problem-solving skills.
  • Ability to build positive relationships with youth, families, staff, and school or transportation partners.
  • Ability to respond calmly and appropriately during emergencies or unexpected transportation issues.
  • Current CPR and First Aid certification preferred or willingness to obtain certification.
  • Must successfully complete all required background checks and organizational training.
  • Reliable transportation and consistent early-morning availability are required.
Salary Description

$19.00 - $21.00 an hour
