Qualifications

• 2+ years staffing coordination experience, ABA therapy preferred.
• Familiarity with ABA roles (RBTs, BCBAs, caseload, session notes).
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication.
• Comfort with scheduling platforms and client management software.
• Ability to prioritize in a fast-paced environment.

Responsibilities

• Coordinate staff schedules and client sessions across locations.
• Match clients with appropriate BCBA based on skill and location.
• Collaborate with clinical and admin teams to assess staffing needs.
• Monitor staffing levels and address gaps or scheduling challenges.
• Maintain accurate records in scheduling and case management systems.
• Communicate effectively with BCBAs and admin teams on scheduling transitions.
• Assist onboarding of new BCBA staff for client placements.
• Track availability, PTO, and time-off requests relative to coverage.
• Approve and book travel for hybrid BCBAs.

Position Overview

We are seeking a highly organized and proactive Staffing Coordinator with experience in ABA therapy staffing. In this role, you will manage caseload assignments, optimize staff schedules, and serve as a vital communication bridge between team members and families. This is a hybrid position, with a mix of remote work and in-office collaboration at our Pikesville, MD location.

What You’ll Do

• Coordinate staff schedules and client sessions across multiple locations and service areas
• Ensure appropriate client-BCBA matches based on skill, availability, and location
• Collaborate with clinical and administrative teams to understand staffing needs and caseload requirements
• Monitor staffing levels and proactively address gaps or scheduling challenges
• Maintain accurate and up-to-date records using internal scheduling and case management systems
• Communicate effectively with BCBAs and Admin team to ensure smooth scheduling transitions
• Support onboarding of new BCBA’s as it relates to initial client placements
• Track employee availability, PTO, and time-off requests in relation to client coverage
• Approve and book all travel for hybrid BCBAs

What We’re Looking For
