Description Of Job

Within the Division of Motor Vehicles, (DMV), The Back Office Cashiering Unit exists to ensure compliance with the laws that govern the vehicle title and registration process as outlined in the Colorado Revised Statute and rules and regulations that delineate the vehicle title and registration functions set forth in the Colorado Code of Regulations, the International Registration Plan and in accordance with DPPA requirements. This position is primarily an on-site position. Employee may be required, on occasion, to work from home for brief periods of time. In such instances staff member will be responsible to provide and maintain a home office or other suitable remote work location as well as internet and a secure Wi-Fi connection. All performance expectations, productivity, and policy adherence requirements apply to remote work from home in exactly the same manner as they are to employees who are currently on site.

Duties

The Vehicle Services Program (VSP) is seeking a Back Office Cashiering Supervisor to direct the daily operations of the back office cashiering unit. Duties include, but are not limited to:

  • Initiate the hiring process and provide subject matter expertise to HR during the comparative analysis process, as well as interview candidates and hires.
  • Ensure staff are performing as directed and follow disciplinary procedures as needed
  • Resolve problems, performance issues, disputes, and informal grievances and initiate corrective action or recommend discipline as needed
  • Monitor staff development, insuring all employees attend mandatory training
  • Maintain compliance with department and section policy to ensure a positive, safe and clean environment is provided for all staff
  • Provide feedback and coaching, complete performance plans, mid-year reviews, and final evaluations
  • Provide technical knowledge and guidance, develop and control methodology, and provide staff support and problem resolution within the unit
  • Responsible for the processes and the security of large sums of money including managing daily cash drawers, verifying total daily collections, verifying employee cash receipts and reporting, and preparing daily deposits
  • Maintain production reports and assist with archiving documents
  • Assign and prioritize work to the Back Office Cashiering unit
  • Log suspected fraud investigation requests submitted by law enforcement, county clerks, and the general public
  • Assist employees, counties, state agencies and the general public with difficult title questions by telephone, written correspondence, and in person
  • Review and provide suggested changes to the Colorado Title and Registration Administrative Manual, procedures, and motor vehicle forms in conjunction with Colorado Revise Statues, Rule, legislative changes and federal law
  • Audit transactions for compliance with standards, including auditing staff’s work for quality assurance

Minimum Qualifications

Experience Only: Four (4) years of relevant experience in a back office, a mail processing center, and/or general clerical experience

General Clerical Work Experience Is Typically Performed By Office Clerks And/or Administrative Assistants. This Includes, But Is Not Limited To Tasks Such As

  • Experience providing exceptional customer service in-person or via email, online, and interfacing with a variety of people from many levels within the organization and community.
  • Data Entry including: entering information into a program or database (appointments, contact information, customer records)
  • Regular, daily work responsibilities utilizing equipment and software used in offices (E-Mail, Microsoft Office programs (Word, Excel, PowerPoint), Google Apps, etc.)
  • Regular, daily work responsibilities utilizing computer systems, scanners, printers, copiers, and other technologies
  • Typing professional emails, letters, reports, briefings, forms, memoranda, etc.
  • Reviewing and comparing data for accuracy and completeness. Gathering specified information and compiling routine reports

In order to be considered for this position, your general clerical experience must be documented on your application. (Part-time experience will be pro-rated.)

OR

Education and Experience: A combination of related education in Business, Public Administration, Political Science, Management and/or relevant experience in customer service and/or general clerical experience equal to four (4) years

Conditions Of Employment With The CDOR

Employees are in a position of public trust in the performance of their job duties and must operate in a manner that maintains the highest standards of honesty, integrity, and public confidence.

As a condition of employment with the CDOR, all personnel must file all necessary Colorado Individual Income Tax (CIIT) returns and pay tax obligations, therefore all employees must undergo a pre-employment evaluation of their tax records/accounts to ensure compliance with this policy. Final candidates must also complete a successful background investigation and reference check prior to appointment. Certain positions based on duties may require scheduled background investigations.

Pursuant to the Universal Driving Standards Policy , any worker who will be expected to drive a State-owned vehicle is responsible for maintaining a safe driving record and a valid driver license prior to driving any State-owned vehicle.

To Be Compliant With The New Fleet Vehicle Policy, Motor Vehicle Records (MVRs) Will Be Pulled For Review For Workers Who

  • Have an assigned State fleet vehicle
  • Are required to operate a vehicle as part of the position
  • Utilize a State fleet vehicle as a pool vehicle
