AAC in Washington, DC seeks an AV/VTC Project Coordinator to plan, coordinate and lead audiovisual and video teleconferencing operations for executive meetings, conferences, webinars, training sessions, live events, and hybrid environments. You will serve as the primary liaison between customers, presenters, technical teams, vendors, and stakeholders to ensure seamless event execution.

Qualifications

  • Requires a high school diploma/GED and ten years of AV/VTC experience.
  • Experience coordinating enterprise AV/VTC environments and live/virtual/hybrid events.
  • Strong hands-on knowledge of AV/VTC systems, video conferencing, audio, presentation, streaming, and recording technologies.
  • Experience troubleshooting AV/VTC hardware, software, network, and interoperability issues.
  • Experience with Microsoft Teams, Zoom, Cisco Webex, or comparable platforms.
  • Strong project coordination, organizational, problem-solving, and communication skills.
  • Ability to develop production plans, run-of-show documentation, SOPs, and technical documentation.
  • Demonstrated ability to work directly with customers, presenters, technical teams, and vendors in a professional, high-visibility environment.
  • Ability to support time-sensitive events and provide after-hours/on-call support when required.
  • Experience supporting executive/leadership meetings or high-profile events.
  • Experience with ITIL-based service management, AV/VTC system commissioning, or technology lifecycle management.
  • Relevant AV, VTC, IT, networking, or audiovisual production certifications.
  • Must obtain an agency public trust suitability determination prior to start date.

Responsibilities

  • Plan and lead live, virtual, and hybrid AV/VTC events, including executive meetings, conferences, webinars, and training sessions.
  • Coordinate AV/VTC systems, conference rooms, collaboration technologies, equipment, staffing, schedules, and vendors.
  • Configure, operate, monitor, and troubleshoot AV/VTC systems, including video conferencing, cameras, audio/DSP systems, presentation systems, streaming, and recording technologies.
  • Support Microsoft Teams, Zoom, Cisco Webex, and similar collaboration platforms.
  • Develop production plans, run-of-show documents, cue sheets, technical procedures, and contingency plans.
  • Lead rehearsals and live event operations while monitoring audio, video, presentations, streaming, and recording quality.
  • Diagnose complex hardware, software, network, and interoperability issues and coordinate resolution with technical teams and vendors.
  • Support system maintenance, upgrades, commissioning, lifecycle replacements, and transition of new systems into operations.
  • Maintain SOPs, system documentation, equipment inventories, and asset records.
  • Provide customer-facing and executive-level support, requirements gathering, presenter coaching, and technical guidance.
  • Support incident, problem, and change management processes and participate in after-hours/on-call support as required.

Required Experience

Requirements & Qualifications:

  • Requires a high school diploma/GED and a minimum of ten years of experience supporting AV/VTC environments comparable to a large enterprise or government organization. Formal technical training and/or further education (AA or BS) are a plus and may be substituted for some experience requirements.
  • Experience coordinating and supporting enterprise AV/VTC environments and live, virtual, or hybrid events.
  • Strong hands-on knowledge of AV/VTC systems, video conferencing, audio, presentation, streaming, and recording technologies.
  • Experience troubleshooting AV/VTC hardware, software, network, and interoperability issues.
  • Experience with Microsoft Teams, Zoom, Cisco Webex, or comparable platforms.
  • Strong project coordination, organizational, problem-solving, and communication skills.
