Job summary

The Loomis Chaffee School in Windsor, CT seeks an experienced Head Equipment Manager for a yearlong, full-time role supporting a large multi-sport athletic program at a boarding school of about 748 students. You will manage the equipment room, inventory, purchasing, and safety standards, coordinating with coaches, trainers, and staff.

The position requires a high school diploma or equivalent, experience in an athletic environment, and proficiency in Excel/Word.

Qualifications

• High School diploma or equivalent relevant experience.
• Experience with athletic environment.
• Experience with warehouse, equipment rooms and/or distribution.
• Experience or knowledge of shipping/receiving functions.
• Valid Driver’s License.
• Knowledge of OSHA requirements regarding equipment safety.
• Proficient in Excel and Word.
• Excellent written and oral communication skills.

Responsibilities

• Manage daily operation of the equipment room: issue/return, distribution, laundry flow, storage, inventory, records.
• Oversee the part-time Assistant Equipment Manager.
• Develop and update equipment room policies and procedures.
• Create seasonal operating plans for fall, winter, spring athletics.
• Coordinate equipment support for practices, games, and events.
• Provide daily service to coaches, student-athletes, and staff.
• Support Directors of Athletics for efficient department operations.
• Perform other related duties as assigned.
• Maintain inventory records for uniforms, equipment, supplies.
• Document issued equipment by team, season, student-athlete, or coach.
• Record lost/damaged/unreturned items and arrange replacements.
• Conduct end-of-season inventory reconciliations.
• Establish systems to monitor usage and replacement cycles.
• Maintain organized storage areas for equipment.
• Determine inventory and purchasing needs based on rosters and seasonal demand.
• Coordinate with athletics leadership on budget planning and purchasing priorities.
• Obtain quotes, place orders, receive shipments, verify receipts.
• Maintain purchase and receiving records.
• Build relationships with vendors and service providers.
• Monitor supply levels ahead of each season.
• Bill students for uniforms and equipment not returned.
• Evaluate condition and safety of uniforms and equipment.
• Fit student-athletes with appropriate clothing and equipment.
• Inspect/repair equipment and gear.
• Ensure compliance with safety standards (NOCSAE, NCAA, NFHS).
• Remove unsafe or noncompliant equipment.
• Maintain records of inspections and repairs.
• Establish laundry/sanitation protocols.
• Oversee laundering and organization of uniforms and gear.
• Ensure uniforms/equipment are clean and ready for events.
• Store and separate clean and soiled items.
• Maintain uniform appearance and presentation.
• Coordinate uniform rotation and replacement planning.
