BYU in Provo seeks an Associate Registrar, Records & Registration to lead official academic and identity records, registration and calendar services, and petitions. The role reports to the University Registrar and supervises four managers.

You will align services with BYU's mission, manage privacy and compliance, and drive improvements across Records, Registration, and Exception Governance.

Qualifications

Responsibilities

  • Align the portfolio with BYU's mission and Enrollment Services priorities and advise the University Registrar on records, registration, petitions, service strategy, and operational risk.
  • Directly supervise managers assigned to two Records Manager positions, Registration, and Petitions; establish expectations, coach performance, develop leadership capacity, and hold managers accountable for results.
  • Establish portfolio-wide priorities, service standards, key performance indicators, quality expectations, and escalation practices; review results and direct improvement.
  • Integrate work across service areas and resolve competing priorities, resource needs, and cross-area dependencies that exceed a single manager's authority.
  • Allocate approved personnel, operating resources, and project capacity and recommend additional staffing, budget, technology, or vendor resources to the University Registrar.
  • Sponsor major service, system, and policy-implementation initiatives and maintain executive accountability for portfolio accuracy, timeliness, privacy, reliability, and student impact.
  • Oversee official academic and identity records, registration and academic-calendar administration, and petitions and related academic exceptions.
  • Ensure reliable stewardship of high-volume, deadline-sensitive records and credential services for current students, former students, alumni, faculty, staff, and external recipients.
  • Ensure readiness for major registration cycles, semester start-up and add/drop deadlines, monthly processes, grade submission, degree posting, commencement, and other academic-calendar events.
  • Establish consistent review, documentation, quality-control, and escalation practices so that policies and exceptions are administered accurately, equitably, compassionately, and within delegated authority.
  • Interpret established policies in complex or novel circumstances, resolve escalated operational matters, and refer decisions requiring new policy, legal interpretation, or institutional authority.
  • Provide business leadership for systems, vendor applications, integrations, automation, and data exchanges; approve portfolio requirements, testing, readiness, and implementation plans.
  • Monitor workload, service quality, accuracy, privacy controls, cyclical deadlines, and student outcomes and direct coordinated responses to significant disruptions, errors, sensitive cases, or access concerns.
  • Ensure secure handling and release of protected information, coordinate FERPA and compliance matters, and recommend changes when policies, systems, staffing, or practices do not adequately support students or institutional interests.
  • Serve as the Registrar's Office's senior operational partner for university units on official records, registration rules, academic calendars, and exception processes.
  • Build and sustain relationships with academic and student-service leaders, Enrollment Services Office, Information Technology, colleges and departments, advisement centers, and other university partners.
  • Represent the university with employers, licensing boards, graduate schools, government and law-enforcement agencies, vendors, and other external partners when official

Associate Registrar, Records & Registration

The Associate Registrar, Records & Registration provides strategic and operational leadership for official academic and identity records, registration and academic-calendar services, and petitions and related exceptions. The position directly supervises four full-time managers and is accountable for portfolio priorities, service standards, policy application, systems stewardship, privacy, risk, cross-functional alignment, and outcomes. Managers lead daily operations and student employees; the Associate Registrar integrates the portfolio, resolves escalated matters, sponsors improvements, and advises the University Registrar.

What you'll be doing in this position
Strategic Portfolio Leadership
