Job Summary Reporting to the Registrar, the Associate Registrar provides operational leadership for core functions that support the mission of the Registrar’s Office and the institution. The role focuses on ensuring effective, compliant, and student‑centered operations while anticipating and responding to changes in enrollment patterns, academic programming, and institutional priorities. The Associate Registrar demonstrates forward‑thinking leadership by evaluating and improving processes, aligning resources and workflows across the office, and identifying opportunities to enhance service delivery, efficiency, and consistency in support of academic and student success goals. This position provides high‑level strategic direction for a wide range of departmental operations and delivers internal and external training, along with comprehensive documentation for policies and procedures.

Principal Responsibilities

Provide strategic oversight of academic systems and catalog operations, including Banner, Degree Works, and Banner Workflow; serve as senior backup and ensure accurate, timely updates aligned with academic policy and new certificate and degree program development. Lead the continuous improvement of registrar systems, workflows, and business processes to support scalable, efficient operations across all campuses and modalities. Partner with academic leadership, administrative units, and campus stakeholders to guide the planning, launch, and operational integration of certificate and emerging academic programs, ensuring compliance and smooth execution. Direct operational planning to support enrollment growth, including onboarding new programs, aligning registrar services with student needs, and proactively addressing process and capacity requirements. Manage and supervise staff responsible for core student record services (transfer credit evaluation, enrollment verification, transcripts, degree and certificate audits), providing senior‑level systems analysis, project management, and process redesign to enhance service quality and user experience. Serve as the institutional data steward for student academic records, ensuring data integrity, regulatory compliance, and timely, effective response to internal and external reporting needs. Oversee the clear and consistent communication of academic policies, procedures, and student rights, maintaining accurate and accessible information across all platforms. Represent the Office of Registration Services and the University Registrar on committees, working groups, and institutional initiatives, contributing subject‑matter expertise and leadership on special projects. Ensure compliance with FERPA, federal and New Jersey regulations, and University policies while fostering a collaborative, service‑oriented, and learning‑focused work environment. Provide operational leadership for the Registrar’s Office in the absence of the University Registrar and perform additional managerial duties as assigned.

Minimum Qualifications

Master’s degree in a field related to the position. 5 years of related work experience in an Enrollment Management Office in higher education, experience working in the area of registrar or registration services preferred. Strong knowledge of FERPA and student related compliance reporting. Proficiency with MS Office software and student information systems (e.g., Banner). Demonstrated understanding of complex databases and computer systems researching and collecting data. Possess critical thinking and interpretive skills to analyze situations, define problems, interpret policies, identify concerns, develop and propose solutions. Ability to work collaboratively with others, and high degree of professionalism required. Demonstrated strong organizational, analytical, written, verbal communication and presentation skills. Excellent interpersonal, organizational, and problem‑solving skills.

Salary - NAL - $74,251 - $111,000
