Entity: Corporate Services

Department: Real Estate and Architecture

Location: Position may require travel to various Penn Medicine locations

Hours: On-Site, M-F 8-4:30 (May require after hour response)

Responsibilities
  • Oversee day-to-day facility operations and activities at one or more outpatient clinical locations. Report to the Senior Regional Property Manager (SRPM).
  • Manage daily operation of facility-related needs including physical plant, regulatory issues (local, state & federal), fire and emergency safety, security, EVS, food services (if applicable), and patient transport.
  • Maintain collaboration with facility or hospital entity leadership and develop rapport with clinical stakeholders.
  • Oversee receiving dock operations at designated site.
  • Assist in compiling monthly expenses for financial reporting and participate in regularly scheduled meetings with entity leadership.
  • Manage facility expenses by identifying and addressing negative expense trends and ensure facility & utility-related invoices are submitted and paid on time.
  • Serve as primary contact for facility events requiring facility resources; coordinate vendors and service partners to keep outpatient clinical facilities patient-ready.
  • Daily operational collaboration with onsite vendor relationships (Physical Plant/Maintenance, EVS, Security, Food Services, Landscaping/Snow removal, Life Safety, HVAC, Tenants or sub-leases, pest control, window cleaning, elevators, roof, parking, electrical/emergency generator).
  • Oversee receiving dock and materials management operations; staff as needed.
  • Reconcile AP/invoices and utility bill management in collaboration with PM.
  • Act as front-line Emergency Management lead with entity leadership (power, weather, disasters).
  • Support local practice leadership with facility-related expenses/projects.
  • Reconcile INR report monthly.
  • Provide feedback for vendor evaluations and support renewals and revisions.
  • Support Regulatory leadership activities and participate in inspections and surveys with entity leadership and accrediting bodies.
  • Perform duties in accordance with Penn Medicine and entity values, policies, and procedures.
  • Other duties as assigned to support the unit, department, entity, and health system organization.
Minimum Requirements
  • Required Education and Experience
  • Bachelor\'s Degree is required
  • 3+ years of experience in Facilities Management or similar experience in a healthcare or office setting
