Job description

Associate Project Manager – Software & Events (Remote – NY, PA, NC, NJ, MD, DC, VA)

Join us as a Remote Associate Project Manager/Project Coordinator and support the implementation of mobile event platforms for major medical and scientific conferences.

At ATIV Software, we provide tools for medical and scientific conferences to connect brilliant minds and drive breakthrough discoveries. As the primary contact for our clients – primarily not‑for‑profit organizations – you will deliver exceptional customer experiences and bridge communication between clients and our development team. You’ll ensure success for thousands of conference attendees by guiding clients through the platform implementation process.

Why Work With Us?
  • 100% Remote: Enjoy the flexibility of working from home – whether that’s your home office, a local coffee shop, or a serene mountain cabin.
  • Innovative Environment: Be part of a team developing cutting‑edge mobile and desktop solutions for major medical and scientific conferences.
  • Impactful Work: Connect scientists and doctors working on groundbreaking research while helping reduce paper waste and environmental impact.
Responsibilities

This is an entry‑level role with a clear path to Project Manager responsibilities. You’ll start by learning our platform, tools, and processes while supporting client success, then gradually take on greater responsibility – transitioning from assisting with projects to leading them as you demonstrate your abilities. Responsibilities will include (but are not limited to):

  • Acting as a liaison between clients and internal teams, including development, sales, and marketing.
  • Communicating effectively between clients and the project team, ensuring clear understanding of needs and expectations.
  • Maintaining meticulous account records to guarantee data accuracy.
  • Building client relationships and driving client retention by showcasing relevant features, anticipating future needs, and maintaining regular communication.
  • Assisting in QA testing to ensure the highest quality and helping clients shine.
  • Cultivating strong client relationships to support marketing in highlighting success stories.
  • Organizing and managing implementations, while serving as a primary point of contact for stakeholders.
  • Analyzing and interpreting clients’ challenges and objectives, consistently advocating for their best interests.
  • Participating in various strategic projects, including system improvements, retention campaigns, and collaborative efforts with Marketing.
  • Representing the company at industry and client events by demoing the platform, recording product walk‑throughs, and meeting directly with customers to highlight features or gather feedback.
  • Occasionally adapting to schedule changes during peak event periods, including some weekends or adjusted hours to support event time zones.
What We’re Looking For
  • Technology‑minded with an eagerness for learning new tools and technologies, especially mobile and virtual event platforms.
  • Excellent written and verbal communication skills, comfortable presenting on video and explaining technical concepts in simple terms.
  • Strong commitment to client success with a desire to help users get the most value from our platform.
  • Self‑starter who thrives in a fast‑paced, remote environment – you take initiative, stay organized, and work without constant direction.
  • Strong attention to detail and consistent follow‑through – you catch what others miss and deliver accurate, thorough work.
  • Embraces new challenges with a problem‑solving mindset – comfortable tackling unfamiliar situations and finding solutions.
  • Experience as a meeting planner or event professional preferred – familiarity with how conferences work will help you hit the ground running.
About Us

Benefits
  • Full‑time exempt, 100% remote position
  • Paid sick leave, paid vacation, paid holidays
  • 401(k)
  • Qualified Small Employer Health Reimbursement Account (QSEHRA)
  • Entry‑level salary range $45,000 – $60,000 annually, based on experience within this range
  • Casual, dynamic, and creative environment with a focus on learning and sharing
