The Role

The Associate Event Producer is responsible for supporting the end-to-end planning, execution, and wrap-up of diverse event projects. This role combines sharp operational logistics with on-site technical production management. The ideal candidate ensures that timelines are met, budgets are tracked, and creative visions are flawlessly executed on the ground. They serve as a key point of contact for vendors, internal talent, and crew, thriving in fast-paced, high-stakes environments.

The role requires significant attention to detail as well as a systems wide view for continually improving efficiency.

This is a full-time, hybrid role based at 180 HQ in Woodbury, MN. Travel is required and can reach 50%, including domestic and international destinations. Target start: late July to early August 2026.

What You’ll Do
Project Tracking and Management
  • Track multiple projects and production elements end-to-end, keeping milestones on schedule.
  • Keep Monday.com current with all tasks, to-dos, and milestones across the team’s portfolio.
  • Identify potential delays early and surface them with proposed solutions.
Client-Facing Coordination
  • Build and maintain detailed client-facing production schedules, aligned to internal timelines.
  • Partner with the production team to ensure client expectations are met and communicated clearly.
File and Documentation Management
  • Maintain the Dropbox file structure with discipline. The right document in the right place, on the right schedule.
  • Manage Statements of Work, Task Orders, Independent Contractor Agreements, and vendor contracts. Track signatures and filing.
Logistics, Travel, and Expenses
  • Book travel for the production team. Align flights, hotels, ground transport, and per diems to project timelines.
  • Take detailed notes during internal and client calls, capture decisions and action items, and load them into Monday.com.
  • Track and process project expenses, receipts, and reimbursements through 180’s financial workflows.
On-Site Event Support
  • Travel with the production team to live events and provide on-site support, which can range from administrative coordination and run-of-show assistance to producer-track responsibilities as you grow into them.
Creative
  • Participate in creative sessions as needed, blending note taking with occasional insightful ideas
  • Find new ways to reduce obstacles in production team operations in order to improve team efficiency
Team Support
  • Provide administrative support that improves how the production team moves through its work.
  • Coordinate internal meetings, agendas, and follow-ups so nothing slips.
What We’re Looking For
  • A recent college graduate or early-career professional ready to build a career in meeting and event production.
  • Strong organizational instincts and the ability to track many moving parts at once.
  • Clear, professional written and verbal communication, with a real eye for detail.
  • Comfort with project management tools, ideally Monday.com, and the Microsoft suite (Outlook, Word, Excel).
  • Working knowledge of AI tools and prompting. Experience with Claude is a plus.
  • Willingness and ability to travel up to 50% domestically and internationally.
  • A proactive, solutions-oriented mindset. Comfortable working independently and inside a team.
  • Calm under pressure. Able to hold tone and focus when timelines, clients, and on-site demands intensify.

Helpful Additional Qualifications
  • Experience pitching creative ideas or services.
  • Adobe Creative Cloud familiarity.
  • Video editing experience.
  • Project leadership experience in school, internships, or prior roles.
  • Familiarity with A/V gear.
  • Knowledge of event planning logistics.
  • Familiarity with the healthcare, medical device, or pharmaceutical industries.

Compensation and Benefits
  • Base salary: $50,000 to $60,000, commensurate with experience.
  • Full-time, hybrid role based at 180 HQ in Woodbury, MN.
