Job Summary

We are seeking a dynamic, client-focused Associate Director of Operations & Compliance to join our growing Speaker Bureau division. This role blends operational oversight with compliance-driven execution, serving as a key partner to both internal teams and pharmaceutical clients. The ideal candidate brings deep experience in speaker program logistics and compliance, excels at cross-functional collaboration, and thrives in a fast-paced, highly regulated environment. This position reports to the Senior Director, Meetings & Events and collaborates closely with internal teams, clients, and external regulatory bodies.

Job Responsibilities and Skills

Client Leadership & Strategic Partnership

Serve as a primary point of contact for designated pharmaceutical clients, building strong, trust-based relationships.

Lead or co-lead client calls, develop agendas, and provide expert guidance on speaker program operations and compliance best practices.

Support onboarding of new clients, including assisting with system configurations.

Collaborate with client stakeholders to resolve issues, drive improvements, and uphold compliance standards.

Operational Oversight

Oversee end-to-end speaker program operations, including pre-program planning through to post-program reconciliation, as well as high-level budget oversight for client and internal accruals and forecast tracking.

Liaise between internal operations teams and clients to ensure accuracy, timeliness, and consistency in execution.

Develop and refine internal SOPs and workflows to increase efficiency, scalability, and audit readiness.

Support and lead direct reports, contributing to team development and performance management.

Compliance Oversight

Act as a compliance subject matter resource for client-specific policies.

Ensure operational processes align with relevant federal and state requirements, particularly around TOV capture and program spend.

Monitor process adherence and recommend remediation or training based on findings or process gaps.

Technology, Systems & Reporting

Become a power user of internal and client-facing systems (e.g., CMGO, Salesforce, Veeva, Excel-based and other reporting tools, etc.).

Collaborate with Woven’s tech, product, and data & analytics teams to support system enhancements, bug resolution, and testing.

Help interpret system-generated data and reports for clients, and contribute to tech-forward process improvements.

Experience with Power BI is a plus.

Manage and mentor the Speaker Bureau Team, overseeing workload, performance, and career development.

Lead standing team meetings, including providing status updates, guidance, and best practices.

Provide regular compliance reports and risk assessments to the Senior Director, Compliance.

Support new client onboarding, ensuring business and compliance processes are seamlessly integrated.

Minimum Qualifications

Required

Bachelor’s degree preferred, or 7+ years of relevant experience in speaker bureau operations, pharmaceutical compliance, or related life sciences account and/or project management.

Proven client-facing experience, with the ability to lead discussions, build rapport, and problem-solve in real time.

Minimum 4 years of people-management experience and leading cross-functional initiatives.

Deep expertise in life sciences meetings & events operations and compliance.

Ability to manage multiple priorities, meet deadlines, and drive operational efficiencies.

Exceptional organizational and analytical skills, with strong attention to detail.

Excellent written and verbal communication skills, with the ability to engage with senior stakeholders.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with compliance reporting tools and Power BI is a plus.

Experience with transparency reporting processes (e.g., Open Payments, state reporting).

Familiarity with contract review and HCP engagement policies.

Location: Remote (U.S. based)

Travel: Ability to travel up to 15% for client meetings and team gatherings.
