Vitamin Angels is an equal opportunity employer that is committed to diversity and inclusion in the workplace. We are a dedicated group of individuals who aim to foster a supportive environment where everyone can contribute, thrive, and grow.

Role or Purpose of Position

The Associate Director of Development Operations will build and lead the systems, processes, data infrastructure, and operational practices required to support a high-performing, integrated Development function at Vitamin Angels.

Reporting to the Chief Development Officer (CDO), the Associate Director will serve as the business owner of Salesforce for Development and will ensure that the platform supports effective fundraising, relationship management, revenue forecasting, donor stewardship, and organizational decision-making. This role will establish and maintain consistent practices for gift processing, data management, prospect and pipeline management, reporting, revenue reconciliation, donor acknowledgment, and fundraising analytics.

The Associate Director will work across Corporate Partnerships, Strategic Philanthropy, Individual Giving, Finance, Marketing, Programs, and Information Technology to create efficient workflows, clarify responsibilities, protect data integrity, and provide Development leadership with accurate and timely information about fundraising performance.

This is both a strategic and hands-on role. The Associate Director will assess current practices, design and implement improved systems, support users, and build the Development Operations team and infrastructure necessary to advance Vitamin Angels 2030 and support sustainable philanthropic growth.

  • Serve as the Development department’s business owner and subject-matter expert for Salesforce, ensuring that the CRM supports Vitamin Angels’ fundraising strategies, business processes, and reporting needs.
  • Establish consistent standards for recording organizations, contacts, relationships, opportunities, activities, proposals, commitments, payments, campaigns, restrictions, and donor preferences.
  • Ensure Salesforce provides a complete and accurate record of donor and prospect relationships across Corporate Partnerships, Strategic Philanthropy, Individual Giving, and other Development functions.
  • Working with IT, manage user roles, permissions, access, and data-governance practices.
  • Working with IT, evaluate and oversee integrations between Salesforce and relevant fundraising, finance, marketing, payment-processing, and reporting platforms.
  • Working with IT, coordinate system enhancements, testing, documentation, implementation, and user acceptance.
  • Monitor Salesforce adoption and data quality across the Development department and address gaps through training, process improvements, and accountability.
  • Stay current on Salesforce capabilities, fundraising technology, and Development Operations best practices, recommending investments and improvements when appropriate.
Data Governance and Integrity
  • Develop and enforce department-wide policies, standards, and procedures for data entry, management, retention, security, and quality.
  • Establish clear definitions and business rules for fundraising data, including revenue categories, opportunity stages, probability, expected close dates, funding restrictions, donor types, and relationship ownership.
  • Conduct routine data audits and oversee data cleansing, deduplication, standardization, and enrichment.
  • Ensure constituent records, contact information, donor preferences, solicitation restrictions, and engagement histories are accurate and current.
  • Manage the secure import, export, transfer, and integration of Development data.
  • Partner with Information Technology and organizational leadership to ensure Development data practices comply with applicable privacy, security, confidentiality, and records-retention requirements.
Prospect, Portfolio, and Pipeline Management
  • Working with the CDO, establish and maintain consistent moves-management practices across the Development department.
  • Support prospect research, screening, portfolio development, and relationship mapping as organizational capacity requires.
Reporting, Forecasting, and Analytics
  • Develop dashboards, reports, and analytical tools that provide timely and actionable information to the CDO, Development leadership, executive leadership, and the Board.
  • Establish standardized fundraising reports and performance measures across revenue channels.

  • Develop standard operating procedures, workflows, templates, calendars, and service expectations for core Development activities.
  • Clarify ownership, decision rights, handoffs, and accountability between Development and other departments, particularly Finance, Information Technology, Marketing, and Programs.
  • Support the CDO in establishing clear departmental goals, performance measures, and systems of accountability.

  • Create user guides, data-entry standards, process documentation, and other tools that promote consistent practices.
  • Provide responsive support to users while reinforcing individual responsibility for accurate and timely data entry.
  • Lead change-management efforts associated with new systems, processes, reporting requirements, and performance expectations.

  • Recruit, onboard, coach, and manage staff, establishing clear responsibilities, performance goals, and standards of accountability.
  • Develop the annual Development Operations work plan, budget, priorities, and measures of success.
  • As needed, manage relationships with relevant technology vendors, consultants, and service providers and ensure that associated investments deliver value.
  • Serve as a member of the Development leadership team and contribute to departmental strategy, planning, culture, and performance.
