Responsibilities

Assistant Training Manager who thrives in a fast-paced environment to provide support for a rail project in Oakland, CA.
Requirements:

The Contractor will report to the Manager of Technical Services and is responsible for the following:

  • Support a major rail transit project in the Bay Area, working alongside a multidisciplinary project team to deliver world-class training outcomes. The Assistant Training Manager plays a vital role in ensuring that all training documentation and delivery activities meet the highest professional and contractual standards, contributing directly to the safe and effective commissioning of transit operations.

  • Support the Training Manager in delivering and administering all training activities on the project. This role demands a highly organized and detail-oriented professional capable of independently producing technical documentation to industry and client standards, managing day-to-day training operations, and ensuring all training materials and print deliverables meet contractual requirements.

  • Demonstrate strong interpersonal skills, technical writing expertise, and the flexibility to operate across all shift schedules as project needs demand.

Technical Writing & Documentation
  • Independently interpret Engineering design documents, technical cutsheets, and engineering specifications to produce Manuals, Training Documents, and instructional materials in accordance with project guidelines and client standards.

  • Organize and facilitate calls and meetings with Subject Matter Experts (SMEs), client representatives, and internal stakeholders to gather technical information required for documentation development.

  • Review and respond to client comments on submitted documentation, including the ability to defend positions, provide technical rationale, negotiate acceptable solutions, or agree to revisions as directed by the Training Manager.

  • Manage the full comment resolution cycle, ensuring all comments are tracked, addressed, and formally closed in a timely and compliant manner.

  • Produce documentation that consistently meets project formatting, style, and quality guidelines.

Training Support & Administration
  • Work closely with the Training Manager to support the planning and delivery of day-to-day training activities across the project.

  • Maintain accurate training rosters, attendance records, and other critical training submissions required by the client and project management.

  • Coordinate with the Training Manager to ensure all administrative documentation is submitted on schedule and in compliance with contract requirements.

  • Provide proactive support to the Training Manager, anticipating documentation and coordination needs and resolving issues independently where appropriate.

Meeting Coordination & Minute-Taking
  • Attend working group meetings, technical reviews, and coordination sessions as required by the project.

  • Accurately prepare and distribute meeting minutes, capturing action items, decisions, and follow-up responsibilities.

  • Track action items arising from meetings and coordinate timely responses with the relevant parties.

Print & Materials Management
  • Take full ownership of all printing requirements for the client, ensuring all printed training materials are produced to the correct specification, quality standard, and contractual requirements.

  • Manage the print production workflow, including planning, proofing, quality checking, and timely delivery of materials ahead of training sessions.

  • Maintain an organized inventory of printed materials and ensure reprints or updates are completed in a controlled and documented manner.

Training Delivery Support & Recording
  • Operate camera and audio-visual equipment to professionally record training sessions across all shift schedules.

  • Attend training sessions conducted on day, swing, and night shifts as required to provide on-site support, recording, and coordination.

  • Provide structured feedback and observations from training sessions to the Training Manager to support continuous improvement.

  • Coordinate directly with client representatives during training sessions, maintaining a professional and responsive presence across all shift hours.

Work Schedule & Conditions
  • This is a 40-hour-per-week position based in Oakland, CA.

  • The position is Hybrid, the standard schedule is four (4) days per week in the office and one (1) day remote.

  • While the primary schedule is day shift, the role requires flexibility to attend and support training sessions conducted on swing shift and night shift schedules. The contractor must be available and willing to work across all shift hours as project and client requirements dictate. Advance notice will be provided where possible, but operational requirements may necessitate short-notice schedule adjustments.

Qualifications:
Education & Experience
  • Bachelor’s degree in Technical Communication, Engineering, Education, Business Administration, or a related field; or equivalent practical experience.

  • Minimum 3 years of experience in technical writing, training coordination, or a directly related role within a rail, transit, infrastructure, or engineering environment preferred.

Technical Skills
  • Demonstrated ability to read and interpret engineering design documents, technical specifications, and cutsheets.

  • Strong technical writing skills, with a portfolio or evidence of producing manuals, training materials, or instructional documents.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management systems.

  • Competency with camera and audio-visual recording equipment; prior experience recording professional training sessions is an advantage.

Interpersonal & Organizational Skills
  • Excellent verbal and written communication skills, with the ability to engage confidently with clients, engineers, and senior stakeholders.

  • Ability to professionally defend technical positions, negotiate comment resolutions, and advocate for project standards.

  • Highly organized, with demonstrated ability to manage multiple workstreams under time pressure and competing deadlines.

  • Strong attention to detail, particularly in relation to document quality, formatting compliance, and print material accuracy.

  • Ability to take accurate and comprehensive meeting minutes and distribute them in a timely manner.

Miscellaneous
  • Must be willing to apply for the SSI Clearance required to work on the project. A valid Driver’s License or Passport is required. Failure to obtain this clearance will disqualify the Contractor from this position.

  • Travel is required to the office in Oakland, CA, and other BART facilities in the Bay Area.

  • In accordance with the DOT’s FRA and FTA programs, the client’s substance screening program tests pre-employment candidates and current employees, as required for safety-sensitive positions.
