Position Overview
26 Keys Productions is seeking an experienced, highly organized, proactive Assistant to the CEO based in Austin, Texas. Reporting to the Executive Assistant to the CEO and working closely with the CEO, this person will serve as a key member of the CEO’s support team, providing highly hands‑on assistance across professional, personal, travel, family, and production‑related needs.
This is an immersive, service‑oriented role for someone who takes ownership, thrives in a fast‑moving environment, and can operate confidently when plans, locations, and priorities shift. The successful candidate will anticipate needs, maintain exceptional attention to detail, resolve issues before they elevate, and follow responsibilities through to completion with limited oversight.
The ideal candidate has prior experience supporting a senior executive, producer, showrunner, or principal within the film and television industry. Direct familiarity with productions, shoots, set operations, and the pace of entertainment work is required.
This position requires frequent domestic and international travel, including travel on short notice and extended periods away from Austin. The near‑term schedule is expected to be especially travel‑intensive before becoming more Austin‑based. The role also requires flexibility to work a non‑traditional and variable schedule. Depending on travel, production, and business needs, the schedule may regularly include long days, evenings, weekends, holidays, and weeks that exceed a traditional 40‑hour schedule.
Key Responsibilities:
- Partner closely with the Executive Assistant to support the CEO’s day‑to‑day professional and personal needs and ensure priorities are executed seamlessly.
- Work directly with the CEO as a trusted, highly responsive member of the executive support team.
- Coordinate and manage complex domestic and international travel logistics, including flights, accommodations, ground transportation, itineraries, reservations, and other travel‑related needs.
- Provide on‑the‑ground support during travel, events, productions, and shoots, independently managing logistics and resolving issues as they arise.
- Own delegated tasks, follow‑ups, scheduling, and ongoing priorities, proactively tracking outstanding items through completion and ensuring nothing falls through the cracks.
- Provide personal support to the CEO and family, including errands, reservations, packing and unpacking, shipments, purchases, appointments, and other logistical needs.
- Coordinate with the Estate Manager and other members of the executive support team on family logistics, schedules, travel, and priorities as needed.
- Coordinate with internal team members, production personnel, vendors, representatives, and other external partners on behalf of the CEO and Executive Assistant.
- Assist with calendar management and meeting coordination, including anticipating scheduling conflicts and helping ensure the CEO is appropriately prepared.
- Track expenses, receipts, purchases, shipments, and other administrative items with accuracy and attention to detail.
- Anticipate needs, identify potential issues, and proactively develop solutions before problems arise.
- Maintain the highest level of confidentiality and discretion when handling sensitive personal, business, family, and production-related information.
- Support special projects, productions, events, and seasonal initiatives as needed.
- Serve as a reliable extension of the Executive Assistant and CEO, exercising sound judgment and representing 26 Keys Productions professionally in all interactions.
- Build working knowledge of the CEO’s preferences, routines, priorities, and professional obligations to provide increasingly anticipatory support.
- Remain calm and resourceful when schedules change, travel is disrupted, or production needs evolve with little notice.
- Navigate ambiguity and shifting priorities without requiring rigid processes or extensive direction.
- Maintain a service‑oriented, team‑first approach and step in wherever needed to help the executive support and production teams succeed.
Qualifications:
- Based in or willing to relocate to Austin, Texas full time.
- Able to work onsite and travel domestically and internationally on short notice for extended periods.
- 3–5+ years of progressively responsible experience in an executive assistant, personal assistant, or comparable high‑level support role.
- Prior professional experience within the film and television industry is required.
- Working knowledge of production environments, shoots, set operations, and entertainment‑industry workflows is required.
- Experience supporting a senior entertainment executive, producer, showrunner, or other high‑profile principal is strongly preferred.
- Demonstrated ability to independently manage responsibilities, prioritize competing demands, and follow assignments through to completion.
- Exceptional organizational and time‑management skills with meticulous attention to detail.
- Strong ability to anticipate needs, exercise sound judgment, and proactively solve problems.
- Ability to stay effective when information is incomplete, priorities change quickly, or established processes are not available.
- Excellent written and verbal communication skills and the ability to interact professionally with executives, talent, representatives, production personnel, vendors, and family members.
- Collaborative, team‑oriented mindset with the ability to work effectively within a small, close‑knit organization.
- A proactive, self‑starting approach and a willingness to assist outside narrowly defined responsibilities when business, production, travel, or family logistics require it.
- Comfortable with frequent travel, including extended periods away from Austin.

Compensation and Benefits:
