Responsibilities

  • Oversee on-site leadership for Seattle branch, scheduling, dispatch, and customer escalations.
  • Maintain and update service management software for both Portland and Seattle branches.
  • Work with Service Manager to improve margins and efficiency across both branches.
  • Review technician timesheets for billing and payroll on a weekly basis.
  • Manage accounts receivable and pause/due invoices with staff assistance.
  • Ensure licenses and certifications are renewed for technicians.
  • Generate daily/weekly reports for management to drive operations.
  • Conduct annual performance reviews for supervised staff.
  • Support SOPs and process improvements; enforce policies.

We're on the hunt for a highly skilled Assistant Service Manager to join our growing team in Seattle, WA. This is a new role created as we combine our Portland and Seattle service departments into one team — you’ll be our on-site leader in Seattle, reporting to our Service Manager based in Portland. The pay range is $70,000–$75,000 per year depending on experience, and includes benefits, PTO and 401k.

Your Mission
  • Work Orders: Maintain and keep service management software up to date on a daily basis for both the Portland and Seattle branches. This includes processing all Work Orders, managing past-due Work Orders, and processing all warranty claims.
  • On-Site Leadership: Serve as the day-to-day, on-site leader for the Seattle branch — scheduling and dispatch, technician coaching, and the first point of contact for customer escalations.
  • Margin: Work with our Service Manager, to increase margin and efficiency across both branches.
  • Timesheets: Weekly review of technician’s time entries for billing and payroll.
  • Accounts Receivable: Maintain Accounts Receivable and manage past-due invoices with the assistance of the administrative staff. Communicate directly with customers who are not responding to the administrative staff
  • Licenses and certification: Manage and maintain all licenses and certification renewals for technicians. Follow up with technicians who are falling behind on renewals.
  • Reports: Provide necessary reports on a daily, weekly or other timely basis that will be used by management to assist in the efficient operation of the company. Compile, review, and turn in files, reports, or records in an accurate and timely manner.
  • Annual Reviews: Review annually all employees under direct supervision in a manner consistent with company policy and standards.
  • Chain of Command: Maintain organization guidelines as established by the organizational chart utilizing the chain of command by working with the other department managers, especially the President, CFO, Finance, and other Service Managers.
  • Meetings: Attend meetings as directed by our Service Manager. Organize regular meetings on the topics of safety, efficiency, and Best-in-Class service.
  • Training: Train personnel in methods and procedures, including sufficient cross-training of personnel assigned.
  • Policies and Procedures: Implement and enforce company policies, established procedures, and the directives of the Service Manager to ensure compliance with company standards. Adhere to SOP, and recommend changes or improvements when necessary.
  • Perform any other duties as directed by our Service Manager.

  • Technical Aptitude: Prior industry experience is not required — our Service Manager provides technical/product expertise and guidance. A willingness to learn our equipment and services is a plus.

  • Organizational Skills: Ability to organize workload and team responsibilities efficiently.
  • Conflict Resolution: Skills in resolving conflicts between customers and the service team.

Before You Leap

This role may include occasional travel to our Portland branch for training and coordination, and some positions require travel and overnight stays. Travel expenses will be covered by Nwestco, LLC

All job offers are contingent upon successful completion of the following:

  • Ability to pass pre-employment physical with extensive lifting (up to 75 lb), twisting, pulling, kneeling, and squatting.
  • Ability to pass pre-employment drug-screening and background check. This position is classified as safety-sensitive, it requires the applicant to pass a comprehensive drug test, including screening for marijuana, as a condition of employment.
  • Driving Requirement: This position requires regular operation of a Company vehicle. Applicants must be at least 21 years of age, possess a current, valid and unrestricted driver’s license, and have no DUI convictions or driver’s license suspensions or revocations within the past five (5) years. Employment is contingent upon verification of an acceptable motor vehicle record and meeting the Company’s automobile insurance eligibility requirements.
