The Assistant Service Manager supports the Service Department by ensuring a high level of customer satisfaction, smooth workflow operations, and clear communication between customers and staff. This position assists Service Advisors and Managers in providing an exceptional experience for customers by facilitating timely repairs, managing shop efficiency, and promoting a culture of professionalism and technical accuracy.
Maintain shop workflow to maximize productivity based on dealership policies and technician skill levels.
Accurately document repair orders including complaints, causes, corrections, and technician punch times.
Ensure timely and professional communication with all Service Customers.
Provide supervisory support to staff members as directed by management.
Assist Service Advisors and Managers with technical questions and recommendations.
Maintain an organized and current repair log.
Handle phone inquiries regarding appointments and ongoing service updates.
Manage and resolve customer comebacks with urgency, professionalism, and a focus on satisfaction.
Greet all customers promptly and professionally; maintain a clean and welcoming workspace.
Participate in test drives with customers or technicians as necessary.
Ensure all vehicles are parked in assigned dealership areas.
Monitor repair progress throughout the day, providing updates and managing customer expectations.
Clearly communicate cost estimates, repair times, and collect proper authorizations before additional work is performed.
Regularly update job status logs and relay changes in estimates to the appropriate advisor or customer.
Review vehicle service history and recommend additional maintenance or repairs as needed.
Previous experience in a similar role within the automotive service industry.
Ability to read, understand, and apply written instructions and information.
General mechanical knowledge.
Familiarity with CDK (Dealer Management System) preferred.
Excellent communication and organizational skills.
Valid driver’s license and a clean driving record.
