Essential Functions
- Coordinate end-to-end logistics for Board and committee meetings, including scheduling, venue arrangements, catering, technology setup, managing invitations and RSVPs, and assembling event materials.
- Lead, track, and complete special administrative projects and strategic initiatives assigned by the President, Chief of Staff, or Secretary to the Board.
- Draft and distribute meeting agendas under the direction of the Secretary to the Board. Attend Board meetings to record accurate minutes and provide real-time administrative support, maintaining accurate, organized, and secure electronic and physical files for Board records.
- Research, compile, and prepare comprehensive briefs, reports, and presentation materials for executive review and institutional decision-making.
- Maintain updated trustee contact lists and committee records while facilitating clear, continuous communication between trustees and the Office of the President through mailings, announcements, and emails.
- Collaborate with college leadership and departmental stakeholders to track progress on institutional priorities originating from the Office of the President.
- Maintain high familiarity with College Bylaws and governing documents to guide administrative processes. Research and compile information on governance best practices to support ongoing Board development initiatives.
- Perform all other duties as assigned by the President, Chief of Staff or the Secretary to the Board.
Job Requirements
- Bachelor's Degree or equivalent combination of experience and training.
- At least 5 years of relevant experience with administrative and clerical procedures.
- Prior experience supporting executive leadership, governance boards, or managing cross-departmental projects.
- High level of accuracy in minute-taking, records management, and document preparation.
- A high degree of professionalism and the ability to maintain strict confidentiality.
- Excellent oral, written, interpersonal communication skills.
- Proficiency in Google Suite Products (Docs, Gmail, Sheets, Slides, Drive)
- Technical proficiency in relevant applications such as MS Office (Word, Excel, PowerPoint).
- Attention to detail.
- Evidence of a commitment to community and belonging.

- Successful completion of background checks.
Preferred Qualifications
- Experience working in higher education or non-profit sectors.
- Prior work experience in an executive office environment.
Additional Information
