Position Summary
Scenic Stays is seeking an organized and dependable Assistant Reservations Manager to support the daily operations of our Reservations department. Reporting directly to the Director of Reservations, this hands‑on leadership position combines guest service, reservation management, team support, and problem‑solving. In this role, you’ll assist guests throughout the booking process, provide day‑to‑day guidance to reservation agents, help resolve escalated situations, and ensure reservations are handled accurately and efficiently. The ideal candidate is calm under pressure, attentive to detail, and comfortable balancing leadership responsibilities with daily reservation tasks.
What You’ll Do
- Answer guest calls, emails, messages, and booking inquiries promptly and professionally
- Assist guests with new reservations, quotes, modifications, payments, cancellations, and property questions
- Provide daily guidance and support to Reservations team members
- Help oversee department operations when the Director of Reservations is unavailable
- Assist agents with challenging guest situations, policy questions, and reservation concerns
- Review reservations for accuracy, including dates, payments, guest information, and special requests
- Monitor pending tasks, unanswered communications, and necessary guest follow-ups
- Help ensure departmental policies and procedures are followed consistently
- Communicate property updates, policy changes, and other important information to the Reservations team
- Coordinate with Guest Services, Owner Relations, Resort Services, Accounting, and Operations when assistance is needed
- Help train and coach new and existing Reservations team members
- Assist with balancing the team’s workload and maintaining coverage during busy periods
- Document reservation changes, payments, and guest communications accurately in company systems
- Escalate significant guest, reservation, or operational concerns to the Director of Reservations
- Identify recurring concerns and recommend ways to improve department processes and the guest experience
Required Qualifications
- At least two years of experience in customer service, reservations, hospitality, or a similar guest-facing position
- Previous experience providing team leadership, training, coaching, or shift support; a formal management title is not required
- Strong written and verbal communication skills
- Excellent attention to detail, organization, and follow-through
- Ability to remain professional and solution-focused during difficult guest situations
- Ability to manage multiple priorities in a busy environment
- Comfortable using computers, phone systems, email, and web-based software
- Ability to work both independently and collaboratively as part of a team
- Dependable attendance and availability to work a flexible schedule, including some weekends and holidays based on departmental needs
- Ability to work in a hybrid environment and report to Scenic Stays Resorts when scheduled
Preferred Qualifications
- Experience in vacation rentals, hotels, travel, tourism, or property management
- Previous experience as an assistant manager, supervisor, team lead, or senior reservations agent
- Experience using Guesty or another property management system
- Familiarity with Airbnb, Vrbo, Booking.com, or other online travel platforms
- Experience processing payments, reservation modifications, cancellations, and refunds
- Experience handling guest escalations and payment-related concerns
- Knowledge of Destin, Fort Walton Beach, Navarre, 30A, Panama City Beach, or the surrounding Emerald Coast area
- Experience training or onboarding employees
- Familiarity with Microsoft Office, Google Workspace, RingCentral, or similar communication and productivity tools
Compensation, Benefits & More
Compensation: $17.00 – $19.00 per hour
