Job summary

Legacy Partners is seeking an assistant to the Business Manager for all phases of apartment community operations. This on-site, full-time floater role supports multiple properties on a Tuesday–Saturday schedule and reports to the regional manager.

You will assist with leasing, resident services, bookkeeping, and daily property operations while supervising staff in the manager's absence and ensuring compliance and timely reporting across communities.

Qualifications

  • Experience in apartment leasing or property management is preferred.
  • Strong organizational, bookkeeping, and administrative abilities.
  • Ability to supervise staff in the manager's absence and coordinate teams.

Responsibilities

  • Leasing and Resident Services - assist with advertising, leasing, and outreach; prepare and sign rental agreements; manage move-ins/outs and inspections; resolve resident concerns; implement retention strategies.
  • Administrative Support - maintain lease files and assist with bookkeeping; collect and deposit rent; audit files and monitor competition; support weekly leasing goals.
  • Property Operations - ensure the community is clean, safe, and well-maintained; coordinate with vendors; perform inspections and report issues; uphold maintenance standards.
  • Team Leadership - supervise staff and contractors in the absence of the Business Manager; train team members as needed.
  • Compliance and Reporting - follow accounting and purchasing policies; manage online reputation; ensure timely reporting.

Job Summary

Responsible as an assistant to and under the supervision of the Business Manager for all phases of the operation of an apartment community, including, but not limited to, the general administration and maintenance; to direct and control all personnel and resources to the end that the community is maintained at all times in good physical condition with a stabilized fiscal operation. This is a floater position, which requires you to commute to and assist at different properties under the regional manager's portfolio, as needed. This is an on-site, full-time position with a Tuesday through Saturday schedule.

Key Responsibilities
  • Leasing and Resident Services - Assist with advertising, leasing, and community outreach to support occupancy goals. Prepare and sign rental agreements in the Business Manager's absence. Manage move-ins and move-outs, perform apartment inspections, and resolve resident concerns promptly. Create and implement resident retention strategies.
  • Administrative Support - Maintain accurate lease files and assist with bookkeeping. Collect and deposit rent following company procedures. Manage delinquent accounts and coordinate collections. Audit files, perform market surveys, and monitor competition. Support weekly leasing goal setting and maintain shop score standards.
  • Property Operations - Ensure the community remains clean, safe, and well-maintained. Coordinate with service teams and vendors to minimize vacancy downtime. Perform regular inspections and report maintenance issues. Enforce service request priorities and maintenance standards.
  • Team Leadership - Supervise staff and contractors in the absence of the Business Manager. Support and train team members as needed. Maintain property operations per company standards and policies when leadership is unavailable.
  • Compliance and Reporting - Follow all accounting and purchasing policies, including deposit systems, budget tracking, invoice coding, and move-out refund processes. Manage online reputation and uphold professional appearance standards. Ensure all required reporting is accurate and timely.

Additional Compensation

Many factors go into determining employee pay within the posted range, including business requirements, prior experience, current skills, and geographical location. In addition to the base salary, this role may be eligible to participate in a bi-weekly, monthly, quarterly, or annual bonus program based on individual and company performance.
