Job summary

Sterling Group in Madison, AL is seeking an Assistant Property Manager for Elements of Madison to help oversee daily operations, lease activity, and resident services. You will work with the Property Manager to maintain profitability and compliance with Sterling policies.

The role involves lease renewals, payments processing in Yardi, vacancies, marketing support, and timely resident communications to support strong occupancy and customer satisfaction.

Qualifications

  • High School Diploma or GED.
  • Two years' property management or related experience.
  • Excellent interpersonal and customer service orientation.
  • Proficient in Microsoft Office; Yardi knowledge is a plus.
  • Able to adapt to a fast-paced environment and manage multiple projects.
  • Strong reading, writing, grammar and math skills.

Responsibilities

  • Assist daily property operations to ensure profitability and policy compliance.
  • Support lease renewals, move-ins, and documentation in Yardi CRM.
  • Maintain resident files, reports, and budget tracking.
  • Coordinate marketing, showings, and resident communications.
  • Help with eviction processes and delinquency management.
  • Ensure property is clean and well-merchandised each morning.
  • Prepare electronic leases and move-in packets in Yardi.
  • Assist applicants through the rental application process.

As an Assistant Property Manager you will:
  • Assistin the management of the daily operations of assigned property to ensure profitability to Sterling Managementand100% compliance with all Sterling policies and procedures.
  • Assistin the development of and/or implementation of the Sterling 5 P’s Business Plan to ensure the property meets or exceeds the expectations of the owners, residents, vendors, and all customers.
  • Maintain all officeand supervisoryfunctions intheProperty Manager’s absence.
  • Manage lease renewals and move-ins,ensuringall paperwork and processes are completed accurately.
  • Assistwith managing resident files, ensuring all documentation is up to date and compliant with company and legal requirements.
  • Support propertymanagerin the preparation of reports and budgets, tracking income and expenses.
  • Maintain effective communication between management, residents, and vendors.
  • Help with marketing efforts, such as property advertising, online listings, social media engagement, and promotional events to attract new tenants.
  • Monitor the property's competitive landscape and suggest pricing and marketing strategies to attract high-quality tenants.
  • Assistwithmanaging eviction processes, ensuring legal procedures are followed appropriately.
  • Perform morning merchandising each day within the first hour to ensure the community is clean, well-organized, and prepared for business operations.
  • Update, organize,andmaintainelectronicresidentfilesand alltracking reports.
  • Prepare electronic lease agreements and resident move-in packets, ensuring all resident documentation is accurately uploaded and properly labeled in their Yardi account.
  • Assistwith lead management and property and apartment tours with prospective applicants and document each interaction including shows within Yardi's CRM system.
  • Maintainanacceptable visit-to-applicationandappointment-to-showclosingratio.
  • Assistapplicants throughout the application process. Process rental applicationsand lease agreementsper policy andsubmitall applications to the Property Manager for final approval.
  • Process rental payments in Yardi promptly, issue late notices, apply late fees, perform occupancy checks, and update Yardi with delinquency memos. Carry out collection efforts in alignment with company policies, striving to achieve budgeted delinquency goals.
  • Handle tenant inquiries, concerns, and complaints, providing solutions in a professional andtimelymanner.
  • Follow up with current residents to ensure satisfaction and help reduce turnover.
  • Manage the lease renewal process by tracking upcoming expirations, sendingtimelynotices to residents, negotiating renewal terms, and ensuring completed renewals are accurately documented in Yardi’s system, allin accordance withcompany policies and occupancy goals.

Schedule:

Monday - Friday 9:00am - 6:00pm
Rotating Saturdays 10:00am - 4:00pm

Qualifications:
  • High School Diploma or G.E.D. equivalent.
  • Minimum of two (2)years’ experiencein property management,retailservice,or sales.
  • Excellent interpersonal relations, communicative skills and a customer-focused service orientation
  • Knowledge in Microsoft Office programs (Word, Excel, Outlook) required
    • Yardi Program knowledge is a plus
  • Ability to adapt to a fast-paced environment and manage multiple projects effectively
  • Proficient in reading, writing, grammar and mathematical skills
Other Requirements (Background Check and Drug Screening):

Must be able to pass a drug test, driving record, credit check, criminal history, and background
checks prior to employment with Sterling Management Ltd.

Physical Demands:
  • Ability to read and comprehend moderately complex documents.
  • Ability to verbally and in writing communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
  • Frequently operates a computer and other office productivity equipment, such as a copy machine, printer, telephone or fax machine.
  • Moderate level of repetitive typing using a computer keyboard.
  • Must be able to frequently walk the apartment community.
  • Must be able to remain in a stationary position. Is occasionally required to move about inside the office to access files cabinets, supplies, and office equipment, etc.
  • Alternate between sitting, standing, walking, and climbing stairs.
  • Occasional bending, stooping, and reaching.
  • Occasionally lift, carry and/or move up to 20 pounds.
  • The noise level in the work environment will be moderate.
  • Ability to travel to different work sites via personal automobile, rental car, airplane and other public transportation modes on occasion.
