Job summary

Brookfield Properties Multifamily LLC is seeking an on-site Property Operations Assistant to support the Property Manager in daily apartment-community administration and operations in Ashford Place. You will assist with leasing, resident services, and regulatory compliance while ensuring property standards and occupant satisfaction.

The role involves handling vendor relations, rent processing, and move-in/out inspections, with potential to step in as Property Manager in their absence.

Qualifications

  • High School Diploma or GED required.
  • Associate Degree in Property Management or Accounting/Bookkeeping preferred.

Responsibilities

  • Assists the Property Manager with general administration and daily operations of the apartment community.
  • Acts in the capacity of Property Manager when the manager is absent.
  • Maintains the physical asset and performance of the property to maximize net operating income.
  • Monitors regulatory compliance and company policies related to property management.
  • Ensures proper use of on-site PC-based property management software; assists in training staff.
  • Manages operation of the property consistent with loss prevention and corporate policies.
  • Responds to emergencies and coordinates with agencies or regional managers as needed.
  • Prepares purchase orders, processes vendor invoices, and tracks payments.
  • Maintains knowledge of maintenance programs, preventive maintenance, and resident maintenance requests.
  • Prepares and distributes service orders for resident requests and follows up on delays.
  • Maintains knowledge of leasing policies and performs leasing and renewal functions.
  • Implements corporate and fair housing policies and procedures.
  • Meets with prospective residents, assesses needs, shows vacant units, quotes rents/promotions.
  • Collects funds related to applications, security deposits, and rentals.
  • Conducts move-in/out inspections and ensures cleanliness and readiness.
  • May perform interim unit inspections.
  • Handles rent collection, discrepancy checks, deposits, and delinquency follow-up, with eviction if necessary.

Job Description Overview
  • Assists the Property Manager with the general administration and daily operations of the apartment community.
  • Acts in the capacity of Property Manager when the manager is absent.
  • Maintains the physical asset and performance of the property to maximize net operating income.
  • Monitors regulatory compliance and company policies related to property management.
  • Ensures timely input, proper use, and full utilization of on‑site PC‑based property management software; assists in training new and existing staff.
  • Manages efficient operation of the property consistent with loss prevention and corporate policies, even during understaffed periods.
  • Responds to emergency situations, contacting appropriate agencies or regional managers as necessary.
  • Prepares purchase orders, processes vendor invoices, sends documentation to corporate office, and follows up on vendor payment inquiries.
  • Maintains knowledge of maintenance programs, preventive maintenance, housekeeping, and resident maintenance requests.
  • Prepares and distributes service orders for resident requests; follows up and notifies residents of any delays.
  • Ensures completion of resident service requests.
  • Maintains knowledge of leasing policies and performs leasing and renewal functions.
  • Implements corporate and fair housing policies and procedures.
  • Meets with prospective residents, assesses needs, interviews for eligibility, shows vacant suites and amenities, and quotes rental rates and promotions.
  • Conducts follow‑up calls, sends literature, and pursues rental status.
  • Collects funds related to applications, security deposits, and rentals.
  • Conducts move‑in and move‑out inspections to determine damages and market readiness; implements high standards of cleanliness and appearance.
  • May perform interim unit inspections.
  • Collects rent, verifies amounts, accounts for discrepancies, deposits checks, and follows up on delinquent rents, initiating eviction procedures if necessary.
Qualifications
  • High School Diploma or GED required.
  • Associate Degree in Property Management or Accounting/Bookkeeping preferred.
  • 1‑2 years of experience in leasing, bookkeeping, or operations.
  • Valid driver’s license may be required.
  • Knowledge of fair housing laws, property management, and Microsoft Office.
  • Preferred skills: affordable housing programs, Yardi, customer service, follow‑through, personal accountability.
