Job Description Summary

The Assistant Property Manager is responsible for assisting in all areas defined as a part of the Sr. Assistant Property Manager job description, as well as performing property administrator job duties if there is no property administrator role on the team. The Assistant Property Manager will ensure a high level of professionalism and foster positive relationships with tenants and clients.

Responsibilities
  • Provide administrative support including phone support, reports, filing, and correspondence; coordinate office supplies if no property administrator is present.
  • Assist with lease administration, including abstracting leases and maintaining the database.
  • Maintain organized property files, including leases and contracts.
  • Prepare bid proposals and service contracts.
  • Manage aging reports, follow up on delinquencies per policies.
  • Process invoices with proper backup according to procedures.
  • Coordinate tenant move-ins and move-outs, including furniture logistics.
  • Oversee maintenance of work order and purchase order systems.
  • Develop and maintain tenant service programs and ensure tenant information is current.
  • Update office procedures in the Operations Manual.
  • Ensure Certificates of Insurance are current for tenants and vendors.
  • Review and approve staff hours, expense reports, and check requests.
  • Process tenant bill-backs timely.
  • Assist in budget preparation, financial reports, and bank deposits.
  • Conduct regular property inspections with service providers.
  • Oversee performance of service contractors.

Minimum Education

Work Environment

Professional office setting with travel between properties under varying weather conditions.

Physical Demands

Standing, walking, ascending stairs, outdoor travel, and operating office machinery are required.
