Phillips Edison & Company is seeking a talented property management professional to join our team and support a regional portfolio of retail centers. This role will directly manage 1-2 retail assets and will support the Senior Regional Property Manager(s) in providing timely management services to neighbors (tenants) and day-to-day aspects of retail property management including daily maintenance and capital project management. The ideal candidate will be organized, proactive, and thrive in a service-oriented environment. This position will be based in Charlotte, NC. Position will require up to 25% travel.
Essential Duties and Responsibilities
- Under the direction of the VP of Property Management and Senior Property Manager(s) assist with the day-to-day operations at the center, including but not limited to:
- Property Operations Support Provide support during property inspections.
- May arrange alterations, maintenance, upkeep, and reconditioning of property as specified in management services and lease agreements.
- Help solicit bids, participate in vendor selection, create service contracts, and assist in managing contracts for property services (e.g. security, maintenance, grounds-keeping personnel).
- Assist Property Managers follow up on any open property items promptly.
- Research tenant inquiries & work with the property manager on an appropriate plan for follow-up.
- Communicate with tenants and assist in resolving any ongoing issues while maintaining professionalism and enhancing their customer experience.
- Develop and maintain strong relationships with tenants and vendors.
- Work with leasing agents to provide access to vacant spaces for prospective tenants.
- Administrative Support Provide exceptional administrative support to assigned Sr. Property Manager(s), including:
- Maintain and update tenant and vendor contact information.
- Work inside PECO systems (Nexus/MRI) to research invoices and run financial reports monthly for managers.
- Upload monthly reports to the proper locations.
- Track & maintain inspections relating to property systems.
- Processes Open/close notices for Tenants.
- Assist in collecting pertinent documents from tenants and vendors.
- Prepare outgoing mail/email.
- Route incoming mail and courier packages.
- Provide utility information to tenants as needed and complete On/Off Utility Requests.
- Handle special projects and initiatives for the assigned region or in support of the Property Management department based upon business needs.
Education / Experience Requirements
- This position requires a minimum of 2 years of real estate experience supporting property operations in some capacity.
- Prior experience working with retail tenants, commercial property vendors, and exposure to general property maintenance, roofing, plumbing and HVAC issues is preferred.
- Exceptional written and verbal communication skills with the ability to interface professionally with associates at all levels of an organization, both internally and externally.
- Strong organizational skills with a proven track record of problem-solving skills in a professional environment.
- Excellent computer and technical skills including a high level of competency in the Microsoft Office suite of products (Word, Excel, PowerPoint) and Adobe Acrobat is required.
- Previous systems experience with Nexus Payables and MRI a plus.
- Positive attitude and ability to maintain a high degree of professionalism and discretion dealing with confidential information.
- Must be a self-starter with the ability to adapt to change, set own priorities and meet deadlines in a fast-paced environment.
- Demonstrated ability to work independently and as a team.
- Ability to travel required (estimated at 25%).
