This full time, in-person position is responsible for assisting the property manager with the daily management efforts of the entire portfolio
What would I do:
- Assist with on-site management of properties to include Tenant relations - property inspections of property, tenant spaces and vacancies, coordinate tenant move-ins/move-outs – welcome letters, emergency contacts, commencement letters, acceptance letters
- Maintain highly organized tenant files, including stacking plans, emergency contact lists, building manuals
- Coordinate maintenance/repair projects with Property Manager, vendors and tenants
- Assist with budgeting – gather bids
- Process Accounts Payable – review and accurately code invoices in Avid, utility call and utility billbacks, to ensure invoices are processed in accounting with appropriate back-up and according to established procedures
- Accounts Receivable – review tenant ARs by 10th of each month, collect on past due charges, prepare demand/late letters, follow-up on status
- Ensure that above standard tenant bill-backs for electrical usage, after hours HVAC, and other similar charges are processed in a timely manner
- Responsible for aspects of annual budgets preparation, CAM reconciliations, and monthly financial reports, as well as preparation of bank deposits, if processed at on site management office
- Coordinate inspections and utility transfers; coordinate clean and show process
- Obtain bids and coordinate job orders with vendors
- Assist in managing various building contracts (HVAC, trash removal, security, etc)
- Act as liaison for vendors concerning payment of invoices and insurance requirements
- Follow-up inspections on repairs
- Responsible for leading regular inspections of properties with janitorial and landscape providers and any other service provider as directed by management
- Coordinates special projects/events as assigned – tenant socials
- Manage the building staff in the absence of the Property Manager or General Manager. Includes all managerial functions, which are included in the Property Manager and General Manager job descriptions, or as directed by the manager
What experience and education are needed:
- Education: H.S. Diploma required; College degree preferred
- Experience: 1-4 years real estate administrative experience required
- Proficiency with MS Word, Excel, and Outlook required. Experience with MRI accounting software a plus
- Excellent organizational skills required. Must be detail oriented
- Strong verbal and written communication skills
- Ability to work in fast paced environment with minimal supervision
