As we continue to expand our portfolio of exciting projects in Northern California, we are seeking a passionate Assistant Project Manager to join our growing team and deliver exceptional outcomes for our clients. This role will help lead capital projects as the owner’s representative, bringing comprehensive knowledge of the real estate development lifecycle, approval processes, and regulatory requirements.
The Assistant Project Manager will support the development and maintenance of strong client relationships, serving as a key point of coordination for internal stakeholders and external partners. Your Role:
- Support all phases of capital projects, including planning, design, construction, and close-out, ensuring successful delivery within scope, budget, and schedule.
- Assist with stakeholder engagement, needs assessments, qualitative program reviews, business case development, and entitlement management to define and verify project goals and objectives.
- Serve as the key point of coordination between clients, architects, engineers, contractors, consultants, and city officials, fostering strong partnerships and effective collaboration throughout the project lifecycle.
- Support procurement efforts for design, construction, peer reviews, and specialty consultant services, including drafting scopes, evaluating proposals, negotiating contracts, and authorizing contract execution and purchase orders.
- Assist in preparing and implementing the project execution plan, project kick-off activities, meetings, presentations, and ongoing project communications to ensure alignment with client objectives and company goals.
- Support the design and construction phases, including oversight of architectural and engineering drawings, bid documents, contractor coordination, and agency approvals to ensure program, budget, and schedule conformance.
- Provide construction administration support, including oversight of meetings, progress reporting, RFIs, submittals, cost control, schedule management, FF&E coordination, and contractor performance.
- Track and monitor project budgets and schedules using web-based project controls; perform meaningful financial and schedule analysis and proactively identify and resolve potential risks, changes, or impacts.
- Assist in organizing and evaluating value engineering alternatives in collaboration with owners and design teams to support financial and performance objectives.
- Support project administration, including resource planning, contract compliance, forecasting, invoicing, progress draw reviews, issue resolution, and strategic decision-making.
- Coordinate architects’ review of contractor and vendor onsite activities to verify compliance with contractual documents, design intent, schedules, and workmanship standards.
- Observe and report on construction activities and construction-related issues, ensuring timely escalation and resolution.
- Coordinate and document project meetings; clearly communicate project status, risks, and mitigation strategies to stakeholders.
- Support and collaborate with Project Managers and internal team members, contributing to accountability, performance development, and achievement of project milestones.
- Assist with project close-out process, ensuring all deliverables, documentation, financial reconciliation, and contractual requirements are completed successfully.
- Support business development efforts, including leading RFQ/RFP responses, proposal development, presentations, interviews, and contract negotiations, and ensuring a seamless transition from business development to project execution.
- Represent the company at industry events, conferences, and networking opportunities to strengthen brand presence and support business development initiatives.
Qualifications:
Minimum 3 years of experience
- Bachelor’s or associate degree in engineering, architecture, construction management, business, or related field.
- Certification as a Project Management Professional (PMP), Certified Construction Manager (CCM) or LEED AP is desired.
- Experience in the Northern California market, having strong relationships with clients, design firms, general contractors, and stakeholders
- Knowledge of the real estate development lifecycle, approval processes, and regulations, from programming, entitlement and design through construction and operations.
- Highly motivated, ambitious and demonstrated business acumen, with a track record of exceeding targets. Expert at building relationships and earning trust.
- Detail-oriented and analytical, excellent communication skills, strong organization and time management skills, and ability to operate independently.
- Advanced MS Office computer skills (Word, Excel, Teams, and PowerPoint).
- Familiar with project management tools and systems such as ProCore, P6 and BlueBeam.
- Ability to travel as required to project locations, meet with clients, and attend industry events.
