Assistant Project Lead Code and Compliance
Your main responsibilities

The Assistant Project Lead supports the execution of service, maintenance, and repair activities for elevators, escalators, and moving walks. This role ensures compliance with local codes and regulatory requirements by coordinating testing, inspections, and repairs in collaboration with internal teams, external vendors, and Authorities Having Jurisdiction (AHJs) within your assigned jurisdiction, either NY or CA.

The position involves managing schedules, maintaining accurate documentation, and providing timely updates to stakeholders to prevent violations and meet mandated deadlines. Acting as a central point of contact, the Assistant Project Lead facilitates communication between Operations, Sales, and customers, ensuring high levels of customer satisfaction and regulatory compliance.

Success in this role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

1. Project Assistance & Coordination (25%)

  • Provide accurate and timely updates on testing/scheduling status to management; conduct regular progress meetings to discuss risks that may affect KPIs.
  • Schedule testing to prevent open violations and ensure compliance with local codes and AHJ mandates.
  • Coordinate internal and external testing requirements based on jurisdictional regulations.
  • Manage compliance with state, city, and local code requirements and applicable Authorities Having Jurisdiction (AHJs).
  • Respond to reports received from AHJ inspectors, which may include lists of required tests, repairs, or upgrades tied to building code compliance.
  • Coordinate timely remediation within mandated deadlines (typically 30-60 days) to prevent equipment shutdowns and potential fines.
  • For items outside the scope of contract, collaborate with the Sales Representative to propose and sell required tests/repairs/upgrades per AHJ notice. Once sold:
    • Coordinate and schedule test dates with third parties (e.g., fire testing)
    • Schedule inspections (e.g., CAT1)
    • Schedule repairs
    • Maintain constant communication with Superintendents and the Sales Representative
  • Hold regular touchpoints with Service Sales and Operations to plan, schedule, and execute compliance-related activities.

2. Documentation & Data Entry (50%)

  • Maintain accurate documentation (meeting notes, sheet trackers, progress reports, updates).
  • Process fees/penalties, including parking tickets, local government authority fees, permits, and regulatory paperwork.
  • Update and maintain trackers to confirm deadlines, scheduling, and completion of compliance tasks.
  • Upon completion of testing/repairs, prepare compliance reports and required forms for submission to the appropriate AHJ or permitting authority on behalf of the client.

3. Communication & Collaboration (25%)

  • Serve as a point of contact for team members, stakeholders, and customers; address inquiries or route to the appropriate personnel.
  • Answer telephone calls, convey messages, and monitor the flow of email within Operations to support high customer satisfaction.
  • Ensure responses to customer inquiries within one (1) business day.
  • Maintain ongoing customer communication on compliance status and completion.
  • Interface with AHJs and local government authorities as needed for permits, inspections, and compliance documentation.

  • Familiarity with SAP, DOBNOW/BIS, Lotus Notes, Microsoft Excel, or similar applications.
  • Highly organized with strong attention to detail.
  • Excellent communication skills with the ability to collaborate effectively with multiple stakeholders.
  • Prior administrative experience supporting operational functions.

Base Salary $71,600 - $89,500

The above represents the typicalsalaryrange for this position. Revisions to the range may be considered based on your experience, education, location, demonstrated skills, and alignment with business priorities. Please note that the compensation listed reflects only basesalaryand does not include commissions or longer-term incentives.
