An established industry player is seeking an Assistant Office Manager to support a collaborative team environment in a healthcare setting. The Assistant Office Manager works closely with the Office Manager and Clinicians to ensure productive, efficient, and collaborative office operations with high-quality clinical outcomes while exceeding patient expectations. This role ensures the best candidates are hired to meet growth and redundancy and encourage teamwork with accountability. Leadership, by example, is essential for oversight of Scheduling, Patient Workflow, Documentation Accuracy, Billing, Patient Collections, and Regulatory Compliance. This position requires advanced knowledge of patient engagement & scheduling confirmation systems, eligibility/benefit interpretation, practice management, patient financing, Payer navigation, and key performance metrics to ensure the quality, compliance, and financial result. Your leadership is critical for developing associates and support provider productivity while enhancing our cultural values and operating policies.
Job Responsibilities:
Lead and develop the team to ensure the Company's expectations are met while providing a "Servant Leadership" style of management. Create and sustain open lines of communication among members of the team where each team member feels safe to speak out, make suggestions, help hold other team members accountable, and have their voice heard and respected. Understand the key performance metrics that drive business results and be able to forecast results and find creative ways to ensure budgets are met or exceeded each month.
Ensuring all practice data is recorded correctly, that days are closed out properly, that adequate support is present for completing daily closeout, including clinical notes and billing matches work done. Facilitate all communication and communicate daily, addressing the expected accountabilities, and provide support to each staff member and doctor. Be sure that the practice complies with regulatory requirements including HIPAA and OSHA as appropriate
Conduct daily staff huddles to foster communication, provide updates, share information, teach and continually challenge and develop our staff. You are the first point of contact for clinicians and should actively work to address staff needs to find logical resolutions with empathy.
Ensure that all staff is trained and knowledgeable on current processes, policies, and the completion of forms. Follow through on all projects until a successful conclusion. Be timely in meeting required deadlines. Consult with HR before presenting any performance improvement plans or corrective action/warning documents to employees.
Embrace change, support company initiatives, projects while listening to everyone's concerns. Act as a change agent by help others to be comfortable with continuous change and adapt accordingly.
