Muir Station Smiles in Martinez, CA is a dedicated dental practice committed to providing quality care in a friendly and compassionate environment. Our team is composed of passionate professionals who strive to enhance the dental experience for our patients through excellent service and teamwork.

We are seeking a motivated and detail-oriented Assistant Office Manager to join our dental team. The ideal candidate will play a key role in supporting the Office Manager in daily operations, improving office efficiency, and delivering excellent customer service to our patients. Schedule

  • This is a full-time position
    • Monday-Friday
    • 2 Saturdays per month

Key Responsibilities:

  • Assist with the day-to-day operations of the front office, ensuring a smooth patient flow and efficient administrative processes.
  • Support scheduling, billing, insurance verification, and patient communications.
  • Provide training and guidance to front office staff; serve as a backup when needed.
  • Assist in preparing staff schedules, monitoring attendance, and maintaining adequate coverage.
  • Maintain patient records, ensure accurate data entry, and safeguard HIPAA compliance.
  • Handle patient inquiries, concerns, and complaints with professionalism and care.
  • Support the Office Manager in implementing office policies, procedures, and quality standards.
  • Assist with accounts receivable follow-up and collections processes.
  • Monitor office supply levels and coordinate ordering.
  • Run and review daily reports; support office performance goals and KPIs.
  • Step in to cover the Office Manager when absent, ensuring continuity of leadership and operations.

Qualifications

  • 2+ years of experience in a dental office setting; prior leadership or supervisory experience preferred.
  • Strong understanding of dental terminology, insurance processes, and dental software
  • Excellent organizational and time management skills.
  • Professional, positive, and team-oriented attitude.
  • Strong interpersonal and communication skills.
  • Ability to multitask and adapt in a fast-paced environment.
  • High school diploma or equivalent; additional training or certifications in dental office management a plus.
