Responsibilities

  • Provide full-time administrative and physical support to all tracking for inventory and supplies across the agency.
  • Maintain accurate daily tracking records for central agency supplies and warehouse stock.
  • Support the Materials Manager by monitoring PO limits and processing transactions in SCEIS to ensure compliance with state rules.
  • Coordinate tracking and management of open purchase orders across facilities (MEDC, JDCC, UEDC, CEDC).
  • Provide administrative, systems, and liaison support to Inventory Manager(s).
  • Maintain office workflow by handling records, requisitions, shopping carts, and assets tracking.
  • Lead SOP reviews and implement improvements with Materials Manager oversight.
  • Collaborate with cross-functional teams to communicate updates and ensure understanding of revised procedures.
  • Solicit input from counterparts and customers to improve supply and service operations.
  • Pursue best practices for inventory management within the agency.
  • Perform other duties as required by management.

Job Purpose

Under general supervision of the Materials Manager, serves as the Assistant Materials Manager for all aspects of inventory/supply operations that provide operational, administrative, and fiscal support for the agency to ensure the accurate tracking, procurement, and distribution of agency-wide supplies.

  • Provides full-time administrative and physical support to all tracking for all inventory and supplies distributed agencywide.
  • Maintains accurate daily tracking records for all central agency supplies and warehouse stock.
  • Supports the Materials Manager by monitoring purchase order limits, and processing transactions in SCEIS to ensure total compliance with State fiscal and procurement rules.
  • Coordinates tracking, management and open purchase orders across all facilities that house youth to include but not limited to MEDC, JDCC, UEDC, and CEDC.
  • Provides thorough administrative, systems, and liaison support to the Inventory Manager(s).
  • This role maintains the office workflow by managing critical records, executing requisitions, shopping carts, calculation inputs for perpetual inventory, and tracking fixed assets.
  • Leads the review, revision, and implementation of Standard Operating Procedures (SOPs), with the oversight of the Materials Manager, to ensure alignment with current best practices, compliance, and operational efficiency.
  • Collaborates with cross-functional teams to communicate updates and ensures consistent understanding and execution of revised procedures.
  • Solicits input from counterparts and customers for the improvement of supply and service operations.
  • Continually works on finding and implementing best practices for the agency regarding inventory management.
  • Performs other related job duties required by management.

This position performs job duties relating to the custody, control, transportation, or recapture of youth within the jurisdiction of the Department of Juvenile Justice, and the employee may have direct and indirect contact with youth within the jurisdiction of the Department of Juvenile Justice. Training applicable to these duties will be provided.

Must be able to work under pressure and meet deadlines.

Must be able to bend, stoop, and lift up to 50 lbs.

Must be able to work in an environment with incarcerated juveniles.

Minimum And Additional Requirements

Performs other related job duties required by management.

State Minimum Requirements

A high school diploma and work experience directly related to the area of employment.

Additional Requirements
  • Requires a working knowledge of supply practices and procedures.
  • Knowledge of inventory control practices and procedures.
  • Knowledge of accounting and bookkeeping procedures applicable to Inventory Management.
  • Ability to communicate effectively.
  • Must have knowledge of Windows Software, Adobe, and South Carolina Enterprise Information System (SCEIS).
  • Must possess a valid SC driver's license and be able to pass the Defensive Driver's training test.

This position is an essential position.

Preferred Qualifications

A high school diploma and at least three (3) years of work experience directly related to Inventory/Supply management. A bachelor's degree may be substituted for work experience.
