Job summary

Satellite Management seeks an Assistant Manager for our Fountain Valley apartment community. You will assist the Community Manager in overseeing operations, rent collection, maintenance coordination, and financial duties, ensuring a positive living environment and productive team performance.

The role requires a minimum of three years in property management, strong computer skills, and familiarity with Yardi Voyager.

Qualifications

  • High school diploma or equivalent is required.
  • Proficiency with standard office software and internet applications.

Responsibilities

  • Ensure rents are collected on time and properly posted; issue notices as needed.
  • Close out monthly delinquency targets with accuracy and timeliness.
  • Coordinate with maintenance and make-ready staff for timely apartment turnover.
  • Oversee renewal/retention notices and maintain leasing records.
  • Assist with vendor communications and insurance certifications.
  • Maintain organized files and accurate resident records.

The Assistant Community Manager works with the Community Manager to oversee the operational and financial aspects of a property. The Assistant Community Manager assists the Community Manager in the oversight of the community, providing the necessary leadership, guidance and motivation to ensure a positive working environment and quality community living and manages the process of rent collection, maintenance, delinquency, and other accounting responsibilities as needed. Successful Assistant Community Managers will have proven ability to multitask, analytical and time management skills and be customer focused.

Primary Duties and Responsibilities:
  • Ensure that all rents are collected when due, and posted in a timely manner; issue appropriate notices when necessary (late payments, eviction notices, returned check notifications, etc.)
  • Close out the month with delinquency level no higher than indicated by the Community Manager of the community
  • Coordinate with maintenance and make-ready staff to ensure timely reconditioning of apartments after move-out, complete deposit accounting move-out statements
  • Accurately complete monthly pre-close and close-out process and make necessary corrections
  • Assist in oversight of renewal and resident retention program, distribute and follow up on renewal notices
  • Assume Community Manager duties in the absence of the immediate supervisor in accordance with company and community guidelines
  • Performs duties of a Leasing Professional when directed and/or required
  • Assists with vendor/contractor communications concerning work scheduling, billings, vendor relations, and certifications of insurance
  • Manages accounts payable for the community, submits all approved invoices to corporate office for payment following company guidelines
  • Maintains a professional, friendly, and inviting atmosphere at the community
  • Accurately maintains prospect, traffic, and rental record logs and all pertinent leasing data
  • Responsible for maintaining organized, accurate, and up-to-date files for all residents; performs filing for the office as needed when not leasing
  • Maintains thorough and accurate product knowledge of the community and that of the major competitors through site visits, tours, shops, telephone surveys and follow-ups
  • Ensures the entire office environment is professional, clean, well-organized, and meets all safety standards
  • Works with colleagues and Community Manager to develop and implement sales and marketing strategies
  • Physically inspects property when out on grounds and picks up litter as needed, letting Grounds and Maintenance staff know of any possible issues
  • Performs a spiff of all vacant apartment homes to show the unit rent ready (smells good, looks good, and creates an environment that a prospect wants to call home
  • Accepts service requests from current residents and coordinates completion with Maintenance staff, following up to ensure customer satisfaction
  • Attends work as scheduled to support the ongoing success of the company
  • Other duties, responsibilities and special projects as assigned
Qualifications:
  • High School Diploma or equivalent required
  • Minimum three years of related experience, experience in residential property management preferred
  • Previous experience with Yardi Voyager system a plus
  • Proficient with computers, Windows (Word, Excel, PowerPoint), Internet and email, and other relevant applications
