Job summary

University of California, Los Angeles is seeking an experienced Administrative Assistant to support Prof. Christine Dunkel Schetter, Director of the Biobehavioral Issues in Mental and Psychology Health training program within the Psychology department.

You will manage appointments and terminations on the NIH website, coordinate travel and reimbursements, purchase supplies and software, coordinate the lecture series, maintain the program website, and help prepare annual progress reports and

Qualifications

  • Evidence of ability to manage tasks independently and maintain high standards in work quality.
  • Demonstrates responsibility, conscientiousness, and organization with interest in health science research.
  • Excellent computing skills including MS Word and PowerPoint.
  • Previous experience as an administrative assistant.
  • Ability to learn and perform website updates and design materials.
  • Comfort using standard office AV equipment.

Responsibilities

  • Appointments/terminations of trainees on NIH site.
  • Coordinate travel and reimbursements for trainees.

Department Summary

Provide administrative support to Prof. Christine Dunkel Schetter, Director of the federally-funded Biobehavioral Issues in Mental and Psychology Health training program in Psychology for pre and postdoctoral trainees. Primary responsibilities include appointments and terminations of trainees on the NIH website, coordination of travel and reimbursement to trainees, purchasing of supplies and software for trainees, coordination of the lecture series, website maintenance, preparation of annual progress reports, and general assistance in preparation of references and presentations using Microsoft Word and PowerPoint. Also, assistance to Chair of Health Psychology as needed in departmental functioning.

Salary & Compensation

Qualifications
  • Evidence of ability to manage tasks independently and maintain high standards in work quality. (Required)
  • Demonstrates track record of being responsible, conscientious and organized, with an interest in research in health science. (Required)
  • Excellent computing skills including PC-based MS Office programs especially MS Word and Power Point. (Required)
  • Previous experience as an administrative assistant. (Required)
  • Ability to learn and perform additional computer tasks such as website updates, design work on posters, bulletin boards, announcements, visual presentation materials. (Required)
  • Comfort and ease using and maintaining standard office and AV equipment (computer, fax, Xerox, printer, projectors). (Required)
  • Knowledge of or ability to rapidly learn and conform to APA style. (Required)
  • Knowledge and skill in use of university library systems, online search engines, and the Internet as a research tool. (Preferred)
Education, Licenses, Certifications & Personal Affiliations
  • High School Diploma Or equivalent experience (Required) Or
  • Bachelor's Degree with cumulative GPA of 3.0 or higher, or an equivalent combination of education and experience. (Preferred)
