Responsibilities

The Assistant General Manager provides management, direction, and leadership—alongside the General and Residential Manager—to ensure that an ultra-luxury, highly amenitized condominium is maintained and operated at a five-star, white-glove level and in accordance with Related Management Company objectives. This role blends hands‑on operational oversight of the building's extensive amenities—such as concierge and valet services, resort‑style pools, spa and wellness facilities, state‑of‑the‑art fitness centers, private dining, and event and entertainment spaces with the administrative and organizational responsibilities of property management and is responsible for the various tasks involved in the overall day‑to‑day operation of the property, including managing and developing team members. This position reports directly to the General Manager.

As a key liaison between the client, Related Management Company services, and internal support staff, the Assistant General Manager must perform the job duties with a view toward projecting a polished, professional, and competent image befitting an ultra-luxury residence. Anticipatory, hospitality-driven service to discerning residents and their guests is essential, while timeliness and impeccable professional appearance are key. The position is fundamental to the administrative and operational functions of Related Management Company/the Property and requires established organizational skills, meticulous attention to detail, solid time management, and refined interpersonal skills. The ideal candidate brings extensive luxury operations experience and the ability to deliver gracious, seamless, white‑glove service to residents and guests.

Duties and Essential Functions
Operations & Service Excellence
  • Serve as an extension of the Management Office, responsible for the overall day‑to‑day operations of the property and its amenities, including the Security and Receiving departments.
  • With the approval of the General Manager, create and update the policies and procedures required to run operations smoothly and efficiently at a five-star level.
  • Ensure residents receive optimum enjoyment of building aesthetics, privacy, services, and amenities; seek opportunities to create memories and build positive resident relationships by anticipating needs and exceeding expectations with creative, gracious, and hospitable service.
  • Act as “chief of protocol” to facilitate well‑orchestrated coordination of security, front desk, valet, maintenance, housekeeping, and office staff, delivering gracious, seamless service to residents and guests; focus on smoothing over, not exaggerating, occasional gaps.
  • Oversee the daily operation, presentation, and reservation of resident amenities—including pools, spa and fitness facilities, private dining, lounges, and event spaces—ensuring each is maintained to an impeccable, resort‑quality standard.
  • Assist with resident communications and relationships; promptly communicate resident and guest concerns and direct inquiries beyond the Front Desk Manual or Concierge scope to the Management Office.
  • Maintain common areas in a professional and presentable condition, free of food, drink, and personal items (including personal cell phones, earpieces, other electronics, books, and magazines) that are in view of or impede access to Front Desk and/or Concierge equipment, references, or tools.
  • Respect resident and guest privacy, perspective, priorities, time, and resources.
  • Evaluate the efficiency of day‑to‑day procedures and apply improvements; revise or formulate standards/policies to meet the building's needs and promote their implementation.
  • Identify and implement change within the team.
  • Make recommendations to the Management Office on capital improvements to ensure residents receive optimum enjoyment of building aesthetics, privacy, services, and amenities.
Administrative & Property Management
  • Schedule and organize complex activities such as meetings, conferences, and department activities for all members of the department; organize and prioritize a large volume of information and calls.
  • Handle confidential and non‑routine information and explain policies when necessary.
  • Support resident lifestyle and concierge requests with discretion, professionalism, and the utmost confidentiality for a high‑profile resident community.
  • Coordinate the division of workload with the administrative assistant of the property.
  • Maintain, update, type, and coordinate account information in the computer database.
  • Coordinate and track important dates and meetings, such as annual and budget meetings.
  • Ensure all communication is handled in a professional and courteous manner, and that phone messages and e‑mails are responded to appropriately within 24 business hours.
  • Ensure all mail (e.g., FedEx, UPS, USPS) is picked up daily in a timely manner.
  • Assist with producing minutes for Board Meetings and with preparation of the Board Agenda and Board Packet.
  • Responsible for coding and entering all invoices for the community.
  • Work closely with committees and each Committee Chairperson.
  • Assist with gathering quotes and proposals for community projects.
  • Order supplies for Maintenance, Housekeeping, and the Office.
  • Post all agendas to the proper physical locations and to the website.
  • Ensure Vendor Packets are processed for all vendors and monitor vendor license and insurance expirations.
  • Coordinate white‑glove service partners and specialty vendors (e.g., valet, housekeeping, spa, landscaping, and in‑residence services) and hold them to the property's luxury service and presentation standards.
  • Coordinate reservations and logistics for conference rooms, private dining, lounges, and resident amenity and event space
Leadership & Team Development
  • Provide daily management of the office staff and/or other team members on‑site.
  • Ensure all new employees complete on‑site orientation with their department supervisor, and report completion to the General
  • Keep employees motivated and engaged per Related Management Company standards through training and development; provide leadership support so team members have the tools and resources to meet and exceed expectations.
  • Lead by example to foster a positive image of all owners, the management team, and building service providers.

Supervisory Responsibility
  • This position is responsible for supervising team members and/or departments at the property. While the direct supervisory role is generally centered on Security, Receiving, and office staff, the Assistant General Manager coordinates across all service departments—concierge, valet, front desk, housekeeping, maintenance, and amenity staff—to ensure the seamless, white‑glove delivery of service that upholds the property's ultra‑luxury standards.
Qualifications
Required Education & Experience
  • Prior experience in a related position; a minimum of 3 years' experience, with extensive operations experience in an ultra‑luxury, high‑rise, or hospitality-driven residential environment strongly preferred.
  • High School Diploma required; undergraduate/college degree and/or work equivalent preferred.
  • Active Florida Community Association Manager (CAM) License is required; alternatively, candidates with a minimum of 5 years of luxury hotel experience may qualify and must obtain the CAM License within 6 months of employment.
  • Working knowledge of computers and associated programs, including the MS Office Suite.
  • Ability to multi‑task, set, and manage priorities.
  • Must function in a team‑organized environment.
  • Strong English communication skills are essential. Bilingual or multilingual skills are preferred and may be required where necessary to effectively communicate with residents, guests, vendors, or other stakeholders.
Work Environment & Location
  • This role operates within an ultra‑luxury, highly amenitized condominium and its professional management office, routinely using standard office equipment such as computers, phones, photocopiers, filing cabinets, and printers. The property features extensive resident amenities—which may include resort‑style pools, spa and wellness facilities, fitness centers, private dining and lounge areas, valet, and concierge services—and may include a restaurant on premise, where the noise level is typical of an upscale restaurant/bar. The position requires movement throughout the building and grounds, working both indoors and outdoors, with exposure to weather; the ability to work in outdoor conditions of rain, cold, heat, and humidity may be required.
Physical Demands
  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This role combines administrative office work with regular movement throughout the building, amenities, and grounds to inspect operations and support the resident experience. Some filing is required, which involves the ability to lift files, open filing cabinets, and bend or stand as necessary. The employee is occasionally required to sit, stand, reach, lift, bend, kneel, stoop, climb, push, and pull items weighing 25 pounds or less. The position requires manual dexterity; auditory and visual skills; and the ability to follow written and oral instructions and procedures.
Position Type, Hours & Travel
  • This is a full‑time, exempt (salaried) position. Days and hours of work will be determined based on the business needs of the property. Days, nights, holidays, and weekends may be part of the job, and occasional evening and weekend work may be required as job duties demand. Minimal travel will be required, generally to attend meetings and trainings at an off‑site location within the city limits of the job site.
