Job Title

Assistant Facilities Manager

Job Description Summary

Under the supervision of the Facilities Manager, the Assistant Facilities Manager supports the facilities organization at a specific location, set of buildings, or campus environment. The role involves supporting the implementation of policies, procedures, and programs to ensure a well-managed and maintained building, with a focus on tenant concerns, environmental health and safety, and quality programs, aligned with the client's goals.

Job Responsibilities
  1. Ensure daily operations of the facility, including janitorial, safety, engineering, site services, and maintenance, adhere to company policies and client directives. Review contracts regularly and ensure invoices match contract terms.
  2. Supervise maintenance programs related to interior and exterior conditions of properties.
  3. Respond promptly to maintenance requests from building occupants and oversee contract programs to address issues.
  4. Compile and maintain accurate site documentation and reports, such as manuals, logs, and compliance records.
  5. Prepare budgets, financial reports, contracts, and purchase orders related to facility management.
  6. Assist in developing capital budgets and long-term maintenance and improvement plans.
  7. Analyze and report on facility management data to assess performance and objectives.
  8. Familiarize with management contracts, vendor agreements, and ensure compliance with insurance and claims procedures.
  9. Proactively inspect the facility and report findings or issues to the Facilities Manager.

Qualifications

Education: Associate’s degree in facilities management, business, or related field required; Bachelor’s preferred.

Experience: Minimum 5 years in commercial or industrial real estate with facility management experience. Maintenance, construction, engineering, and property operations experience preferred. CMMS/Work Order experience is a plus.

Certifications & Skills: Certified Facility Manager (CFM) or industry certifications recommended. Ability to read blueprints, understand management contracts, and operate building management systems. Proficient in Microsoft Office and financial systems like Yardi.

Work Environment & Physical Demands

This role operates in a professional office environment and may require travel between properties in varying weather conditions. Regular communication and exchange of information are necessary.
