Role Overview

The Assistant Team Estimator supports the bids team by processing work orders, writing estimates, managing bid revisions, and keeping client portals accurate and up to date.

This is a detail-oriented, production-focused remote role. The right person is fast and efficient when working in client portals, accurate with pricing, and proactive about keeping tasks moving.

What You Will Do

Bid Writing and Queue Management

• Write and submit estimates within the same business day for all assigned work orders.
• Clear your assigned portion of the bids queue every business day before end of day.
• Prioritize critical or urgent work orders marked Ready for Office and submitted before 4:00 PM. These must be completed the same day.
• Notify the Team Estimator by 3:00 PM if your queue cannot be cleared that day.
• Apply established pricing standards accurately to every bid.

Bid Revisions

• Acknowledge all bid revisions in the client portal on the same day they are received.
• Follow up on every open revision daily until it is resolved.
• Ensure every open revision has a documented status update in the portal before the end of each business day.

Portal Management and Documentation

• Work fluently across client portals such as Lessen, MSR, AMH, and similar platforms to submit bids, update statuses, and log activity.
• Log all bid activity and client communication in the appropriate portal within 24 hours.
• Maintain accurate and up-to-date records across all assigned work orders.

Client and Technician Communication

• Respond to bid-related client inquiries within four business hours.
• Call clients directly when questions or concerns cannot be resolved through portal notes alone.
• Communicate directly with technicians when their pricing does not align with established standards. Address discrepancies before the bid is submitted.
• Escalate issues to the Team Estimator when they cannot be resolved through direct communication.
• Write all bids within approved margin thresholds.
• Escalate any bid that falls below the defined margin threshold to the Team Estimator before submitting it.

What We Are Looking For

Experience with Lessen, MSR, AMH, or other institutional property management portals is strongly preferred. Candidates who can demonstrate hands-on portal experience will be prioritized.

Required Qualifications

• Strong attention to detail; accuracy in pricing and documentation is essential.
• Ability to manage a high-volume queue while meeting daily production expectations.

• Reliable availability during core business hours.
• Stable, high-speed internet connection for consistent portal access throughout the business day.
• Experience using web-based client portals or work order management platforms.

Strongly Preferred

• Hands-on experience with Lessen, MSR (Maintenance Service Requests), AMH portals, or similar institutional SFR platforms.
• Background in property maintenance, facilities management, or field service coordination.
• Previous experience writing or reviewing repair estimates, bids, or scopes of work.
• Familiarity with NTE (not-to-exceed) pricing structures and margin-based bid writing.
• Experience in a bids, estimating, or work order coordination role.
