Job summary

Molin Concrete Products in Lino Lakes, MN is seeking an administrative assistant to support estimating and sales operations. You will maintain multiple reports, enter bidding correspondence, prepare bid documents, and coordinate information between Sales, Estimating, and other departments to keep bids moving forward.

The role requires attention to detail, strong MS Office and communication skills, and the ability to read contracts.

Qualifications

  • 2–3 years’ admin experience or 2-year business degree.
  • Proficient with Microsoft Office; Salesforce/Adobe preferred.
  • Ability to read and understand contracts.

Responsibilities

  • Maintain, create, and run multiple reports (Weekly, quarterly, yearly as well as other requested reports) as required by sales/estimating.
  • Receive and enter all bidding correspondence from sales email/fax/Molin info email in a timely manner
  • Responsible for submitting all bids to customers.
  • Set up commercial and residential jobs.
  • Update internal/external contacts.
  • Process all change orders through salesforce.
  • Process all job cancellations as needed.
  • Close out projects such as lost bids, expired bids, jobs, etc.
  • Coordinate communication and information between Sales, Estimating, and other departments to ensure necessary information is received and communicated.
  • Follow up with appropriate personnel regarding outstanding information, documentation, or tasks needed to keep bids and projects moving forward.
  • Ability to read and understand architectural drawings, or aptitude to learn
  • Coordination and preparation of essential bid documents.
  • Training in admin staff on Estimating/Sales duties as needed.
  • Backup to Receptionist includes answering phones, greeting customers, daily tasks.
  • Additional duties as assigned by Estimating Manager.

Education and Experience:
  • High school degree with at least 2-3 years’ experience in administration role; or 2-year business degree.
Knowledge, Skills & Abilities:

  • Pay for this position is estimated to start at $22-26/hr based on the experience, certifications, and qualifications of the applicant.*
