  • Oversee setup and breakdown; open and close facilities for each event.
  • Coordinate with food service to ensure menus, setup, and staffing for catered events.

Saint Joseph's College of Maine is hiring for the position of ASSISTANT DIRECTOR of EVENTS!

POSITION RESPONSIBILITIES
Provides coordinated oversight of Stone Barn events by:
  • Managing event timelines developed autonomously and in coordination with Director, packing sheets, setup and breakdown plans, and floorplans
  • Providing on-sight and logistical coordination (procurement, delivery, and billing) with internal and external events contacts
  • Overseeing set up and breakdown, opening and closing of facilities prior to and after each event
  • Coordinating with food service to ensure appropriate menu, setup, and staffing is available for catered events
Serves as an ambassador of the Events department to ensure the success of events by:
  • Coordinating and overseeing assigned events and Stone Barn business after booking as well as through the completion of the event or function, while achieving profitable margins, offering high quality food and beverage options, and a positive customer experience
  • Acting as a liaison between client, Director of Events, service providers and events department team to ensure successful meetings and events
  • Maintaining proactive communications with all parties involved in events
  • Hosting walk-throughs and sales visits for both internal & external department events as assigned
  • Maintaining knowledge and compliance with departmental policies, service procedures, and standards
  • Cultivating corporate external peak season event business on the SJC lakefront
Serves as primary administrator of the events software by:
  • Entering service requests, menus, rentals and additional costs into event software in accordance with client needs for events on-campus as needed
  • Managing work orders, banquet event orders and rental orders
  • Evaluating software functions and maintaining data integrity
Effectively manages Event employees by:
  • Utilizing standardized training documents for events procedure across all departments
  • Supervising correct set up, service, and breakdown of events
  • Ensuring a high level of customer service is delivered throughout each event
  • Directing staff through set up and break down procedures
  • Always displaying and exemplifying the high standard of service and hospitality that the department sets forward as a rule
  • Effectively working with Event employees to uphold the highest level of hospitality and standards in the Maine wedding & events industry
MINIMUM REQUIREMENTS
  • Bachelor’s degree is preferred or equivalent experience in the hospitality, sales and or business
  • Two or more years’ experience in a hospitality field with both administrative and service responsibilities required
  • Food Handler and Alcohol Server Certification required
  • Must have a valid driver’s license, complete a driver training program and have an acceptable Motor Vehicle Record
SCHEDULE
  • This is a full-time position. The weekly schedule needs to be flexible related to client appointments and events, however the primary schedule evolves around normal work week hours
  • Summer hours are more demanding and require more flexibility around the scheduled events
  • Availability during peak operating times (weekends, holidays and special events as needed)
