Job summary

Responsibilities

  • Assist Program Director with outreach and recruitment to partner schools to meet enrollment goals.
  • Maintain program data in funder database and ensure accurate daily attendance reporting.
  • Help organize and run parent and participant orientations.
  • Assist in staff training and performance evaluation; provide coaching as needed.
  • Ensure participant files meet funder, SACC, and DOH requirements and are up to date.
  • Oversee staff and activities in the Program Director's absence; supervise team.
  • Provide positive leadership to ensure high-quality programming and incidents are resolved promptly.
  • Collaborate with schools to align afterschool activities with school day operations.
  • Prepare funder program reports and ensure timely submission of verification tools.
  • Plan events, projects, and field trips with Program Director.
  • Attend funder meetings and trainings as mandated; support mental health resources and trainings.
  • Meet annual SACC training hours for all program staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Assist Program Director with conducting outreach and recruitment efforts to partner schools; ensure enrollment and participation goals are met
  • Maintain programmatic data in funder database adhering to prescribed deadlines; develop and adhere to systems that ensure for the accurate collection of daily attendance
  • Assist Program Director with organizing and executing parent and participant orientations
  • Assist Program Director with training program staff and orienting them to their respective roles and responsibilities within the program structure; evaluate staff performance, motivate, coach and counsel staff to excel
  • Assist Program Director with ensuring that all participant files are maintained in a thorough manner, are updated as needed and maintained in accordance with funder, SACC and DOH requirements
  • In absence of Program Director, responsible for oversight and supervision of program staff, participants and implementation of program activities
  • Provide positive and enthusiastic leadership and direction to team to ensure the delivery of high-quality programming
  • Work with participants to effectively and appropriately resolve any incidents. Communicate with parents as appropriate
  • Closely monitor student retention; develop and implement alternative ways of keeping participants engaged in all program activities
  • Along with Program Director, network and collaborate with partner schools to ensure for smooth program operation and continued alignment between afterschool and school day
  • Assist Program Director with preparing required funder program reports and ensure all program reports and verification tools are submitted on a timely basis
  • Assist Program Director with planning, coordinating, and supervising special events, projects, and field trips
  • Attend funder sponsored meetings, trainings and workshops according to program mandates
  • Assist Program Director with oversight and implementation of Mental Health Supports ensuring staff compliance with one-hour training requirements covering mental health awareness, engagement and de-escalation, crisis response protocols and mental health resources
  • Meet and document required SACC training hours for all program staff on a yearly basis
  • Ensure program participants have every possible resource to attain their goals
  • When needed, assist with recruitment and hiring of new qualified staff
  • Ensure all milestones and outcomes are met
  • Provide participant referrals and follow-up as necessary
  • Submit supply requests to meet programmatic needs
  • Inform Program Director of any issues that may arise and provide written statements as necessary
  • Complete other assignments as directed by Program Director and program administration
COMPETENCIES
  • Must have at least two years of experience working with youth in non-profit setting; at least one year of supervisory experience is preferred.
  • Must have a genuine passion for working with youth and be willing to go above and beyond program mandates for benefit of children
  • Must be team oriented, working well with others to inspire success
  • Must be organized, detail oriented, able to multitask, take imitative, and work independently on tasks
  • Ability to effectively prioritize responsibilities, as well as set and meet deadlines
  • Strong communication and interpersonal skills
  • Proficiency in MS Office Suite
  • Bilingual Spanish/English preferred
  • Must be working on obtaining SACC credentials
EDUCATION and EXPERIENCE
  • A School-Age Child Care Credential or other Office-recognized credential specific to the school-age developmental period and two years of direct experience working with children less than 13 years of age, including at least one year in a supervisory capacity in a childcare program or related field of work preferred; or
  • High School Diploma/HSE and 4 years of relevant experience
  • 1 year of supervisory experience required
