Job summary

Nova Southwestern University in Fort Lauderdale is seeking an Administrative Support specialist for the Museum's Education department to ensure efficient operation and coordination of programs. Key duties include responding to inquiries, processing accounts payable, developing teacher resources, scheduling workshops and tours, collecting attendance data for grants, and coordinating staff and volunteers.

A Bachelor's degree is required; one to two years of office experience is preferred.

Responsibilities

  • Respond to inquiries for the Education department and resolve issues promptly.
  • Process Ariba accounts payable requests and generate reports.
  • Assist the Curator of Education with development, production, and distribution of resources.
  • Plan and schedule workshops, lectures, and events tied to exhibitions and collections.
  • Coordinate K-12 school tours with Visitor Services and student staff.
  • Collect attendance and demographic data for outreach grants.
  • Support docent program scheduling and training.
  • Oversee Education department interns and student workers.
  • Schedule PCI trainings and arrange staff trainings and workshops.
  • Create virtual education content and assist in program research/evaluations.
  • Arrange guest lecturers, space reservations, and equipment needs.
  • Conduct exhibition tours and art history lectures in-person and virtually.
  • Assist with group sales calls and data collection from participants.
  • Perform other duties as assigned by supervisor.

Primary Purpose:

Provides administrative support for the Museum's Education department to ensure an efficient operation and coordination of all related museum programs.

Essential Job Functions:

  1. 1. Responds to inquiries to Education department and resolves complex problems requiring broad understanding of work-area policies and procedures to ensure questions are answered and issues resolved in a timely manner.
  2. 2. Process Ariba accounts payable requests and generate reports from NSU specific software systems to ensure accurate processing and record-keeping.
  3. 3. Assists the Curator of Education in the development, production and distribution of teacher resources, family guides and community outreach materials to ensure a professional outcome.
  4. 4. Assists the Curator of Education in the development, execution, and scheduling of workshops, lectures, programs and events based on exhibitions and collections to ensure efficient operations.
  5. 5. Coordinates K-12 school tours in collaboration with Visitor Services and group sales student workers.
  6. 6. Collects/compiles attendance and demographic information for Museum outreach programs. Submits data for grant purposes on a timely and consistent basis.
  7. 7. Provides work scheduling and support for the Museum's docent program to ensure efficient use of docents within the Museum.
  8. 8. Monitors Education department staff interns to ensure smooth operation.
  9. 9. Schedule student workers and/or volunteers for PCI training and arrange for all Education staff to attend special trainings and workshops on exhibition and other related information.
  10. 10. Create virtual education content, assist in program research, development and evaluations under the direction of the Curator of Education.
  11. 11. Assist in arranging guest lecturers, space reservation and equipment needs.
  12. 12. Conducts exhibition tours, art history lectures and activities in virtual and in-person settings.
  13. 13. Assist with group sales phone calls, correspondence and coordination of collecting data and surveys from participants.
  14. 14. Performs other duties as assigned by supervisor.

Job Requirements:

Required Knowledge, Skills, & Abilities:

  1. 1. Proficient knowledge of MS Office, including Word, Excel, Adobe Suite, Outlook; data entry skills; Internet research abilities
  2. 2. Knowledge of office practices and procedures (e.g., filing, answering telephones, and supply/equipment ordering).
  3. 3. Ability to enter and verify information with accuracy.
  4. 4. Ability to understand and follow oral and written instructions.
  5. 5. Ability to maintain confidential information.
  6. 6. Strong administration skills - organized, thorough, systems orientated with meticulous attention to detail.

  8. 8. Excellent written and oral communication skills.
  9. 9. Ability to manage multiple projects concurrently.
  10. 10. Should be able to collaborate effectively with various departments.
  11. 11. Must be able to interact comfortably with a broad range of museum constituents, including school age children and senior citizens.
