Responsibilities

  • Oversee accounting operations including general ledger, accounts payable/receivable, payroll, and month-end close.
  • Ensure GAAP compliance, donor/grant requirements, and regulatory standards.
  • Research and document accounting treatment for complex transactions.
  • Prepare and analyze monthly, quarterly, and annual financial reports for leadership and external stakeholders.
  • Produce budget vs. actual statements to support programs and grants.
  • Maintain internal controls to protect assets and ensure policy compliance.
  • Assist with audits, budgeting, and implementation of financial policies and procedures.
  • Support IRS Form 990 preparation and other regulatory filings.
  • Monitor restricted funds and assist with quarterly donor-restricted net asset schedules.
  • Participate in annual budgeting and quarterly forecasting, including variance analysis.
  • Assist with cash flow forecasting and liquidity management.
  • Mentor accounting staff and review entries for accuracy and timeliness.
  • Perform monthly general ledger tasks and bank reconciliations.
  • Contribute to process improvements and financial software enhancements.

SUMMARY:

The Assistant Controller supports all core accounting functions for a nonprofit, ensuring accurate financial reporting, compliance with GAAP and funding requirements, and strong internal controls. They also assist with audits, budgeting, staff oversight, and research appropriate accounting treatment for complex or unusual transactions.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Support the Controller in overseeing all accounting operations, including general ledger, accounts payable/receivable, payroll, and month-end/year-end close processes.
  • Ensure financial statements are accurate, timely, and compliant with GAAP, nonprofit accounting standards, donor/grant requirements, and applicable federal, state, and local regulations.
  • Research and document appropriate accounting treatment for new, unusual, or complex transactions to ensure compliance with GAAP and nonprofit reporting standards.
  • Assist in preparing and analyzing monthly, quarterly, and annual financial reports for departments, leadership, the Board of Directors, and external stakeholders.
  • Produce budget and actual revenue and expense statements as needed to support program operations and grant or award submissions.
  • Maintain and monitor internal controls to safeguard organizational assets and ensure compliance with agency policies and regulations.
  • Assist in developing and implementing financial policies, procedures, best practices, and process improvements, including financial software enhancements.
  • Support periodic monitoring activities and the annual audit process by preparing schedules, documentation, and coordinating with external auditors.
  • Assist with the preparation and review of regulatory reports, including IRS Form 990, census reporting, and providing data to external tax partners to ensure timely filing.
  • Monitor restricted and unrestricted funds to ensure proper tracking, allocation, reporting, and compliance with donor and grant requirements. Maintain the quarterly donor-restricted net asset schedule and collaborate with program staff to review restricted balances.
  • Participate in the annual budgeting and quarterly forecasting process by preparing budget templates, coordinating program data, analyzing variances, and providing financial insights.
  • Assist with cash flow management, including forecasting and maintaining adequate liquidity.
  • Mentor and provide guidance to accounting staff, serve as backup support, and review accounting entries for accuracy, completeness, timeliness, and compliance with established policies and procedures.
  • Perform monthly general ledger functions, including journal entries, account reconciliations, expense allocations, fixed asset and lease accounting, depreciation and amortization, in-kind entries, maintenance of account code combinations, and other accounting activities as needed.
  • Assist with banking activities, including reconciliation of bank accounts and related financial transactions.
  • Perform special accounting projects and other duties as assigned.
  • Utilizes intermediate knowledge of Microsoft Office applications with strong Excel skills.
  • Represents the Agency in the community and workplace in a professional and ethical manner.
  • Demonstrates sensitivity to the service population’s cultural and socioeconomic characteristics.
  • Demonstrates strong interpersonal, decision-making, problem-solving, oral, and written skills.

Qualifications

EDUCATION and/or EXPERIENCE: Bachelor's Degree in accounting required with five years of experience including one year of supervisory experience. CPA Certification a plus. Nonprofit experience preferred.
