Job summary

Galerie Development in Atlanta, GA seeks an Assistant Construction Project Manager to support planning, coordination, and execution of luxury senior living construction projects. Qualifications

  • Bachelor’s degree in CM or related field required.
  • 2–5 years of coordination or assistant PM experience.
  • Experience in senior living, healthcare, hospitality, or multifamily construction is a plus.

Responsibilities

  • Coordinate all phases of project planning, design, construction, and closeout.
  • Manage master project schedule and budget tracking.
  • Coordinate procurement of consultants, vendors, and owner-furnished equipment.
  • Prepare meeting agendas, minutes, and action item tracking.
  • Liaise between internal departments, consultants, vendors, and stakeholders.
  • Forecast schedule impacts and identify potential delays.
  • Maintain project records and standardized folder structures.
  • Support project turnover to Operations with complete archival documentation.

Summary:

The Assistant Construction Project Manager supports the successful planning, coordination, and execution of Galerie Development's luxury senior living construction projects. This role is responsible for project administration, scheduling, budgeting, procurement coordination, and documentation management throughout the project lifecycle.

Working closely with the Development team, consultants, contractors, vendors, and internal stakeholders, the Assistant Construction Project Manager helps ensure projects remain organized, on schedule, within budget, and aligned with Galerie Development's quality standards.

Responsibilities and Duties:
  • Support the Construction Project Manager in coordinating all phases of project planning, design, construction, and closeout.
  • Coordinate the selection, procurement, delivery, and installation of consultants, vendors, and owner-furnished equipment not managed by the General Contractor or Interior Design team.
  • Assist with project meetings by preparing agendas, documenting meeting minutes, and tracking action items.
  • Serve as a liaison between internal departments, consultants, vendors, and project stakeholders to facilitate timely communication.
  • Develop and maintain the Master Project Schedule, incorporating planning, design, entitlements, permitting, procurement, construction, installations, and project closeout activities.
  • Monitor project milestones and identify potential schedule impacts or delays.
  • Provide recommendations to improve project performance and support timely completion.
  • Maintain project task lists and ensure assigned responsibilities are completed according to schedule.
  • Maintain the Master Project Budget by tracking contracts, purchase orders, commitments, change orders, and projected expenditures.
  • Forecast future commitments and identify potential budget variances.
  • Reconcile estimated and actual project costs with Galerie's Accounting Department on a regular basis.
  • Review consultant and vendor invoices for contractual compliance prior to payment approval.
  • Assist in maintaining accurate project financial reporting.
  • Establish standardized project folder structures and maintain all electronic project files throughout the life of each project.
  • Organize and archive contracts, drawings, specifications, meeting minutes, permits, warranties, and project correspondence.
  • Maintain the Project Action Log, documenting critical decisions, outstanding issues, responsible parties, and completion deadlines.
  • Assist in receiving, organizing, and maintaining all project documentation for future operational and historical reference.
  • Coordinate procurement activities for owner-furnished equipment, specialty vendors, and consultants.
  • Track equipment deliveries and installation schedules.
  • Assist in coordinating logistics between vendors, contractors, and project teams to minimize delays.
  • Assist in organizing closeout documentation, including warranties, operating manuals, as-built drawings, record documents, and maintenance information.
  • Support project turnover to Operations by ensuring all required documentation is complete and properly archived.
  • Coordinate final project records for long-term storage and future reference.
Education and Experience:
  • Bachelor's degree in Construction Management, Engineering, Architecture, Business Administration, or related field preferred.
  • 2-5 years of construction project coordination, project administration, or assistant project management experience.
  • Senior living, healthcare, hospitality, or multifamily construction experience is a plus.
Preferred Skills:
  • Strong organizational and project coordination skills.
  • Excellent attention to detail and ability to manage multiple priorities.
  • Experience maintaining project schedules and budgets.
  • Working knowledge of commercial construction processes and terminology.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, Microsoft Project, Excel, Bluebeam, Procore, or similar project management software.
  • Ability to analyze project information and proactively identify potential issues.
  • Strong customer service mindset with the ability to work effectively across multiple departments.
