Job Summary:
The Assistant Manager Community Manger is responsible for assisting the Community Manager with ensuring the community generates a satisfactory cash flow, the property is maintained in accordance with Company standards and assures customer/tenant satisfaction. The Assistant Manager will manage the property in the absence of the Community Manager.

- Proficient in Excel and standard office programs and equipment; have working knowledge of Microsoft office suite (Word, Outlook, PowerPoint, etc.)
- Highly organized and able to manage and prioritize diverse tasks and manage a heavy workload
Essential Job Functions:
- Promptly answer telephone and e-mail inquiries with the goal of obtaining an appointment to show the community to the prospective resident.
- Serves customers/tenants by backing-up Community management; answering questions; forwarding messages.
- Maintains supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to work stations.
- Maintains equipment by completing preventive maintenance; troubleshooting failures; calling for repairs; monitoring equipment operation; monitoring and purchasing meter fund
- Assists in maintaining the office schedule.
- Greet prospective residents, demonstrate the features and benefits of the community, available homes and amenities, explain terms of occupancy, and provide information about local areas.
- Assist with the sale with prospective resident and obtain a holding deposit and application for occupancy or waiting list.
- Promptly follow up with prospective residents whom have not yet leased to continue the lease and or sale process.
- Determine and certify the eligibility of prospective residents, following government regulations and Company procedures.
- Assist Property Manager with all marketing and sales activities including advertising promotions marketing surveys of competitors’ activities.
- Pursue and collect rent payments and accurately record remittance.
- Investigate complaints, disturbances and violations and resolve problems following management rules and regulations.
- Prepare, submit and maintain accurate records, reports and documents.
- Ensure confidentiality of all data in the resident files (i.e. income, credit reports, assets, etc.).
- Provide information and reports in coordination with other departments as needed.
- Conduct all activities in accordance with HUD regulations and Fair Housing requirements.
- Process move in and move out documents.
- Performs other duties as assigned or requested.
Requirements:
- High school diploma or equivalent combination of education, training or experience.
- Property Management experience preferred.
- Must be detail oriented and organized.
- Must have and maintain a valid Driver’s License in the state of residence.
- Must be able to communicate effectively verbally and in writing.
- Be available to work evenings and weekends if necessary.
- Present self in a neat, clean and professional manner at all times throughout the workday and/or whenever present at the community.
- Comply with expectations as demonstrated in the Employee Handbook.
- Successfully pass a background test.
Work Environment/Physical Demands
Work primarily in a climate controlled office environment with minimal safety/health hazard potential. Sedentary, sitting, walking, occasional lifting (overhead, waist level) from floor, bending, frequent near vision use for reading and computer use. Occasional walking outdoors to show/tour available homes, minimal stairs to homes.
Position Type/Expected Hours of Work
- This is a full-time, non-exempt hourly position. Standard work hours are Monday through Friday 8 a.m. to 5 p.m.
- Willing and able to work extended hours when necessary, including weekends and holidays.
- Overtime hours may be required.
Travel
Travel is not required for the position unless the position is assigned to one or more communities within a Region or District.
Required Education and Experience:
- A minimum of 1-2 years’ experience in office administration required.
- Strong analytical and multi-tasking skills
- Ability to establish and maintain positive professional relationships with management and on-site associates.
- Excellent customer service skills while maintaining the highest standards of professionalism.
- High school diploma or equivalent required; two or four-year degree preferred.
- 1 years of progressive experience in Property Management and Leasing preferred.
- Experienced in data entry, account reconciliation, general office duties (email, fax, multi-line phones, computer skills) and Microsoft Office products.

Additional Requirements:
Attendance is an imperative job function. The Assistant Community Manager must maintain a regular schedule as agreed upon at hire.
