PREMIER ASSOCIATION MANAGEMENT, INC. is seeking an administrative support role to assist licensed Managers with calls, letters, notices, mailings, and day-to-day operations.

The position also supports accounting tasks, vendor coordination, and board meeting preparation to ensure smooth community management of multiple associations.

Qualifications

  • Bachelor Degree in Business or related field preferred.
  • High School Diploma required.
  • Community Association Management License is a plus.
  • Previous experience managing others is a plus.
  • Operational financial planning/management experience is a plus.
  • Must pass the Community Association Manager certification class/exam; company will cover the cost.

Responsibilities

  • Answering the telephone system and directing to appropriate Manager
  • Assists the Community Manager with scheduling appointments with vendors or homeowners
  • Ensures the manager has the appropriate tools and facilities to perform their roles
  • Assists with monthly G/L account closing processes and accurate recording of financial information
  • Supports the Community Manager to ensure smooth running of the community (walk-in members, packets, administration, accounts receivable)
  • Assists with sending communications or notifications to all members
  • Sorts mail and distributes to appropriate Community Manager
  • Assists with walk-in clients
  • Assists the Community Manager with monthly board/annual meetings (copies, gathering information, binders)
  • Distribute amenity information and keys/cards to members
  • Other duties as assigned by supervisor
  • Solicitation of vendor bids upon request

Job description

Assist all licensed Managers with answering telephone calls, letters, notices, mailings, brochures, postcards, newsletters, etc.Assist all licensed Managers with all accounting functions as needed and assist with the day-to-day operations of the office.

Summary of essential job functions
  • Answering the telephone system and directing to appropriate Manager
  • Assists the Community Manger with the scheduling appointments with vendors or homeowners
  • Ensures the manager has the appropriate tools and facilities in order to competently perform their roles
  • Assists the Community Manager with monthly G/L account closing processes, include accurate recording of financial information
  • Supports the Community Manager in a variety of ways to ensure the overall smooth running of the community, e.g., walk-in members, new homeowner packets, administration, accounts receivable, etc.
  • Assists with sending communication or notifications to all members
  • Sorts mail and distributes to appropriate Community Manager
  • Assists with walk-in clients
  • Assists the Community Manager with monthly board/annual meetings, e.g., making copies, gathering information, organizing binders, etc.
  • Distribute amenity information and keys/cards to members of each managed community
  • Other duties as assigned by supervisor
  • Solicitation of vendor bids upon request

  • Previous experience/responsibilities for operational financial planning and management is a plus
  • Must pass the Community Association Manager certification class/exam, if not licensed. Company will cover the cost of class/exam.
