  • Travel Management & Expense Reconciliations – Administer cash advances, audit and approve expenses, coordinate with travel vendors, and support a robust travel program.
  • Financial Aid – Administer financial aid agreements and related transactions to fund tuition and housing for student-athletes.
  • Game & Event Support – Assist Athletics Department operations at home events and recruiting events.
  • Required Reporting – Ensure accuracy of reporting requirements including specific financial reports for oversight boards.

Job Details: General Notes Additional hours will be required to include early mornings, evenings, weekends, and holidays. This job is not suitable for remote work and is expected to work regular on-site hours. Travel is required. This position is designated as an Administrative and Professional and serves without a fixed term and at the pleasure of the President, pursuant to the University’s Handbook of Operation Procedures 5-1230, “Appointment and Term of Appointment for Administrative Professionals.”

Purpose

To provide support assigned Sport Programs and Departments within Intercollegiate Athletics, in the areas of budget management, travel, procure to pay, and related business functions.

Responsibilities
  • Budget Management – Prepare, analyze and narrate the on-going financial position of assigned Sport Programs and Departments to aid in their sound fiscal management. Provide support in the annual zero‑base budget process, and review spend recommendations in alignment with the Athletics’ Financial Master Plan (FMP).
  • Procurement, Contracting & Payments – Provide the independent review of goods and services requests, soliciting multiple proposals from qualified vendors, and preparing appropriate documentation in alignment with the Handbook of Business Procedures (HBP).
  • Support an efficient centralized process to receive invoices, ensure the accurate receipt of goods and services, secure the necessary approvals, and process payment in an accurate and timely manner.
  • Travel Management & Expense Reconciliations – Administer cash advances, audit and approve expenses, provide required documentation and produce related reports. Coordinate with Anthony Travel to support the operation of a robust travel program. This position will serve as a subject matter expert for HBP‑11‑Travel and related HBP subsections.
  • Financial Aid – Administer financial aid agreements, the related business transactions to remit funds to student‑athletes, and process related University entries to fund tuition, room, board, books and related fees. Work with assigned audiences including, but not limited to, student‑athletes, Coaches, Administration, Business Office, campus partners, and key stakeholders to plan and allocate housing assignments, administer dining plans, etc.
  • Game & Event Support – Support the Athletics Department at home events, contests and Football recruiting events in support of our operations.
  • Required Reporting - Ensure accuracy of reporting requirements, including private aircraft utilization report for the University’s Board of Regents, and other designated business processes.

Required Qualifications
  • Bachelor's degree in Business, Finance, Accounting or related field.

Preferred Qualifications
  • Experience in an NCAA Division 1 Athletics Department financial role.
  • Experience administering student‑athlete financial aid or scholarship agreements.
  • Familiarity with NCAA compliance and reporting requirements.
  • Experience coordinating institutional travel programs or working with third‑party travel management vendors.
Driving Required

This job requires a class "C" operator's driver's license. The applicant selected must provide a current three year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre‑employment, post‑accident, reasonable suspicion, random, return‑to‑duty, and follow‑up drug and alcohol testing).
